Preconstruction Project Coordinator

ROLE SUMMARY

Based at our Edmonton office, the Preconstruction Project Coordinator is responsible for working closely with our project team members, managers and leads to help deliver major organizational projects efficiently.

Hours of work are Monday to Friday - 8:00 a.m. - 4:30 p.m.

Travel to projects may be required.

DUTIES & RESPONSIBLITIES
- Coordinate project management activities, resources, equipment and information.
- Break projects into doable actions and set timeframes.
- Liaise with clients to identify and define requirements, scope and objectives.
- Assign tasks to internal teams and assist with schedule management.
- Make sure that clients’ needs are met as projects evolve.
- Help prepare budgets.
- Analyze risks and opportunities.
- Oversee project procurement management.
- Monitor project progress and handle any issues that arise.
- Act as the point of contact and communicate project status to all participants.
- Work with the Project Manager to eliminate blockers.
- Use tools to monitor working hours, plans and expenditures.
- Issue all appropriate legal paperwork (e.g., contracts and terms of agreement)
- Create and maintain comprehensive project documentation, plans and reports.
- Ensure standards and requirements are met through conducting quality assurance tests.

REQUIREMENTS & SKILLS
- Proven work experience as a Project Coordinator (in preconstruction or construction) or similar role
- Experience in project management, from conception to delivery
- An ability to prepare and interpret flowcharts, schedules and step-by-step action plans.
- Solid organizational skills, including multitasking and time-management.
- Strong client-facing and teamwork skills.
- Familiarity with risk management and quality assurance control.
- Strong working knowledge of Microsoft Project, Primavera P6, and/or Microsoft Planner.
- Hands-on experience with project management tools (e.g., Autodesk Construction Cloud).
- BSc in Business Administration or related field.
- PMP / similar certification is a plus.

KEY COMPETENCIES
- Communication - Communication skills are essential for project coordinators, as they have to communicate with different people and groups throughout the project lifecycle. Preconstruction Project Coordinators need to be able to convey clear and concise messages, listen actively, ask relevant questions, provide feedback, and resolve conflicts. They also need to adapt their communication style and medium to suit the audience, context, and purpose. To improve your communication skills, you can practice speaking, writing, and presenting in various situations, seek feedback from others, and use appropriate tools and techniques.
- Organization - Preconstruction Project Coordinators have to manage multiple tasks, resources, and deadlines. Preconstruction Project coordinators need to be able to prioritize, delegate, and monitor the progress and performance of the project activities and deliverables. They also need to be able to document, store, and retrieve information and data efficiently and accurately. Persons in this role must use project management software, templates, and checklists, create and follow a schedule, and review and update their plans regularly.
- Problem Solving Skills - Preconstruction Project Coordinators must demonstrate the ability to effectively deal with various challenges and issues that may arise during the project. Preconstruction Project coordinators need to be able to identify, analyze, and resolve problems in a timely and effective manner. They also need to be able to anticipate potential risks and mitigate them before they become problems. Persons in this role must use logical and creative thinking, brainstorm and evaluate solutions, and learn from their mistakes and successes.
- Leadership Skills - Leadership skills are important for project coordinators, as they have to lead and motivate the project team and stakeholders. Preconstruction Project coordinators need to be able to set and communicate the project vision, goals, and expectations, assign roles and responsibilities, and provide guidance and support. They also need to be able to foster collaboration, trust, and accountability among the project participants. Persons in this role will be supported in developing their leadership skills through feedback and coaching, training and mentoring, and modelling positive and professional behavior.
- Technical Skills - Technical skills are specific to the project domain and scope, and they vary depending on the nature and complexity of the project. Preconstruction Project coordinators need to have a basic understanding of the technical aspects and requirements of the project and be able to use the relevant tools and methods. They also need to be able to learn new skills and technologies as needed and keep up with the latest trends and best practices.
