**Academic Affairs Specialist**:
**Primary Purpose**: As a principal specialist at the College of Graduate and Postdoctoral Studies (CGPS), this position provides strategic, high-level support to the Associate Dean (Policy and Programming) of the college, much of which is highly independent without direct supervision. The Academic Affairs Specialist implements the college-level student hearings process relating to allegations of academic misconduct and appeals of academic decisions. The position provides crucial information and specialist guidance on the college’s student hearing and appeal processes to all participants, with careful attention to university regulations and college policy and procedures. The Academic Affairs Specialist provides high-level support to the CGPS Graduate Programs Committee and Graduate Academic Affairs Committee, including specialist support from concept through to implementation for new policy and program development, and maintenance of governing documents like the University Catalogue. This position has a high level of responsibility, discretion, knowledge of university governance and college policy, and will require service-oriented people skills in the outward-facing support function to graduate faculty, administrators, and students across campus. This position takes independent initiative to stay abreast of innovations in graduate student policy across comparator institutions and leadership in ensuring college academic policy is compliant with university policies, such as equity, diversity and inclusion; and, decolonization and Indigenization.

**Nature of Work**:Reporting to the Associate Dean (Policy and Programming) in CGPS, and working in collaboration with the CGPS Director of Programs and Operations and colleagues in the University Governance and Registrar’s Offices, this specialist position requires strong organizational skills, a strategic mindset, and a good understanding of the university and CGPS operations and policies. This office deals with sensitive and confidential matters and information, requiring this position to act discretely and professionally in all aspects of the job. The person in this position must be professionally disposed toward working independently and be able to interact effectively with faculty, staff, students and senior administrators.

This position serves as the college secretary for graduate student appeals in academic matters and graduate student academic misconduct hearing boards. As such, the position ensures that the procedures for appeals in academic matters are implemented correctly and that all participants are informed about their roles and responsibilities in the appeal proceedings. The Academic Affairs Specialist position is responsible for working with the University Registrar’s office on changes to the University Catalogue, University Calendar, and associated documents and systems. As well, the position provides high calibre support to the CGPS Academic Affairs committee and CGPS Graduate Programs committee, from concept through various stages of college and university approval to implementation. The work involves a great deal of communication, specialist technical support, attention to regulatory and procedural detail, and coordination with the Associate Dean, Director of Programs and Operations, and the Dean.

**Typical Duties or Accountabilities**:

- Reporting to the Associate Dean, and in consultation with the University Governance Office, Registrar’s Office, and Institutional Planning and Assessment, undertake specialized leadership, from initiation to implementation, of processes central to graduate programs and academic affairs, including but not limited to new program development, approvals, program and course modifications, academic misconduct, student withdrawals, student’s being required to discontinue;
- Provides leadership in the preparation and conduct of hearings for appeals in academic matters and allegations of misconduct, with a high level of discretion, in accordance with university regulations and college policy;
- On matters pertaining to graduate student academic affairs and programming, ensure a timely and seamless working relationship with the University Governance Office, Registrar’s Office, and Institutional Planning and Assessment;
- In coordination with the Associate Dean and Director of Programs and Operations, act as an additional resource person advising stakeholders (faculty members, department heads, graduate chairs, senior academic leaders, students, and administrative staff) on CGPS policies and programs, supports in other campus service units, and university decision-making structures and procedures as needed;
