This is a hybrid position based out of our Toronto Support Centre. As a key member of our Events & Experience team, the Event Coordinator will play an important role in ensuring the success of our events. You are responsible for supporting the efficient planning, coordination, and execution of the organization’s events, consisting of conferences, regional town halls, unique experiences and other special events.

This is a 1 year Contract opportunity

In this role, you will
- Assist with building and maintaining event budgets, timelines, and schedules
- Identify and secure event venue quotes, as well as solicit quotes from other necessary vendors such as caterers, florists, photographers, djs, furniture/décor companies, etc.
- Research event management related platforms as the team evolves and requires new support systems
- Coordinate the administration of event sponsorships
- Support with distributing social media content (pictures, videos, event details) to Corporate Communications
- Collaborate with cross-functional teams to support in-person, virtual and hybrid events by assisting with the planning and implementation process
- Manage event registration and reporting outputs, such as guest lists, rsvps, dietary restrictions
- Assist with tracking expenses on corporate event card and ensuring completed report is submitted monthly to Accounts Payable
- Manage processing all invoices and vendor set up in dc Accounts Payable system
- Assist event managers with completing the weekly event update calendar
- Support the team with conducting post-event evaluation, analysis and recommendations for changes
- Develop and maintain relationships with key internal stakeholders
- Contribute to a strong team culture to ensure success of Events team initiatives and contributions

What We're Looking For
- Approximately 1 to 3 years of hospitality, event management or planning experience
- Exceptional client service experience
- Aptitude to differentiate when to act independently or within a team
- Open-mindedness to collaboration within the team environment
- Proven ability to meet multiple and/or unexpected deadlines in a demanding environment
- Experience preparing event correspondence
- Ability to coordinate multiple tasks and work on more than one event at a time
- Excellent written and verbal communication skills
- Ability to maintain poise and professionalism under pressure
- Proficient in Word, Excel and PowerPoint
- Meticulous attention to detail
- Familiarity with event support platforms and CRMs are desirable
