**Office Administration Duties**:
**Administrative Support**:
- Support day-to-day office operations, including office supplies procurement, equipment maintenance, purchases for other departments, and liaising with service providers.
- Assist company leadership with scheduling and travel arrangements.
- Assist the accounting department by providing them the needed documentation.
- Organize and maintain office filing systems, both digital and physical.
**Shipping**
- Prepare online order shipments
- Help our shipping and buying agent with physical package preparation.
- Act as backup shipper
**Facility Upkeep**:
- Oversee the upkeep and functionality of the office environment, ensuring that it remains efficient and well-organized.
- Work with IT and other departments to address any office maintenance needs, including computers, internet, and utilities.
**Team Support**:
- Assist HR with administrative tasks such as onboarding new employees and managing employee records.
- Support team members with various administrative requests as needed.
**Event and Meeting Coordination**:
- Organize team building events (2 per year), welcome lunches for new employees, and other occasional office gatherings.
- Ensure meeting rooms are prepared with necessary materials and equipment.
**Receptionist Duties**:
- Accept incoming packages, and answer questions from shippers during package pick up.
**Client Communication**:
- Serve as the first point of contact for general inquiries, ensuring that they are addressed promptly and professionally.
**Office Presentation**:
- Ensure that the reception area, meeting rooms, and common areas are tidy and well-presented at all times.
**Qualifications**:
- Diploma in Office Administration, Business Administration, or a related field.
- 2+ years of experience in an office administration or receptionist role.
**Skills & Abilities**:
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency in office software, including Microsoft Office Suite (Word, Excel, Outlook), and experience with office equipment such as printers, copiers, and phone systems.
- Experience with ERP systems (Odoo experience is an asset).

- Ability to work independently and as part of a team.
- Bilingual (English and French) is an asset.
