With a high level of independence, the Operations Coordinator is responsible for coordinating and maintaining all building systems and equipment located at the various campuses and out-buildings/sites of the College. The incumbent will be active in the planning and scheduling of preventative maintenance to ensure College activities do not conflict with scheduled work. This will be done through routine inspections, compiling data and records, coordinating schedules, and working directly with stakeholders and contractors on workloads.

The Coordinator will also assist in project planning (from project inception to completion) of various service agreements, equipment contracts, and special projects. In working towards Conestoga’s commitment to the safety and well-being of all staff and properties, the incumbent will be active in adhering to and remaining relevant to Health and Safety legislation and regulations.

**Responsibilities**:

- Coordinating service and maintenance of HVAC, electrical, plumbing, and mechanical systems, and equipment
- Performing necessary building checks and inspections to ensure necessary certifications and compliances are being maintained
- Developing and adhering to complex preventative and corrective maintenance programs to ensure asset integrity and value of all building systems
- Monitoring schedules, setting priorities, and coordinating weekly, monthly, and seasonal maintenance tasks for both internal and external building activities
- Coordinating and completing work requests through establishing priorities, scheduling, and organizing with College requests
- Implementing and scheduling all contractor certifications and inspections in accordance with Fire and Life Safety standards, ESA regulations, and building codes
- Responding to roof leaks and arranging repairs through established warranty and vendor specifications
- Ensuring the roofing database is up to date and operational
- Providing guidance and direction to trades and contractors to ensure there are no conflicts with building operations in more complicated repairs
- Maintaining and tracking detailed records of work as required by the Technical Standards and Safety Association, MOL, Fire Authorities, Ministry of Environment, and College/department practices and procedures
- Participating in building trades (plumbing, electrical, carpentry, painting, locksmithing, masonry) and maintenance work as needed
- Preparing planning documents based on requirements, as well as researching and evaluating new ideas/products
- Providing input in the development of budget and expenditures
- Creating purchase requisitions and receiving invoices for Manager’s approval
- Preparing schedules and ensuring works/shipping are performed according to college timelines and schedules
- Engaging with contractors and ensuring contractor’s proposed works meet the project scope, college requirements, industry standards, procedures, and policies
- Participating and guiding contractors in on-site visits and reviews
- Compiling and resolving any deficiency lists/action items related to the scope of the work
- Obtaining/preparing documentation for warranties, operating procedures, and maintenance manuals
- Updating internal documentation and software systems (i.e. Archibus, SharePoint folders, budget binders, asset management plan)
- Procuring supplies, materials, PPE, and equipment through various vendors and suppliers
- Completing all necessary reports and records related to the department
- Providing training and orientation to new department staff members
- Reviewing construction and project specifications/blueprints related to college and regulatory requirements with the ability to interpret and make recommendations for building systems
- Altering, changing, and marking up as built drawings in AutoCAD and or Blubeam

Qualifications:

- Two-year diploma in Facilities or Operations Management, Project or Construction Management, Business, Building Systems **or** Certificate of Qualification as a Journeyperson in Electrical (309A or 442A), Carpentry (403A), Plumbing (306A), or HVAC (313) is required
- Eight years of current practical experience in facilities coordination and project management; including minimum 4 years of full-scope formal project ownership experience in construction, mechanical and electrical projects, or initiative implementation involvi
