**JOB OVERVIEW**
AHWC’s Primary Care Site Coordinator will support the Director of Primary Care in various administrative functions associated to their clinic portfolio such as HIV, immunization, and specifically the satellite primary care clinic located at Tina’s Safe Haven. Drawing from AHWC’s mission statement and values, this magnetic person will be the right hand helper for the existing team and be a welcoming, kind, and compassionate front line person for community members when they visit the primary care clinic to access supports during their healing journey.
The Administration Coordinator should demonstrate an understanding of and respect for the histories, traditions, and cultures of Indigenous peoples, inclusive of First Nation, Métis, and Inuit Communities and Nations, including an understanding of the importance of decolonizing healthcare systems and spaces.
**RESPONSIBILITIES AND DUTIES**
- Provide reception services for staff, clients, and the general public, including greeting visitors, completing registrations, scheduling exams, and processing invoices.
- Schedule medical appointments and prepare patient files and documentation using Electronic Medical Records (EMR); contact patients to confirm attendance.
- Maintain thorough and accurate records of incoming messages, appointments, and correspondence; distribute this information promptly.
- Maintain filing systems and database records, ensuring demographic accuracy and quality data control.
- Report maintenance or repairs needed for office equipment and support IT functions as per opening and closing duties.
- Welcome and support all Indigenous and non-Indigenous community members, including those identifying as part of the 2SLGBTQIA+ community and individuals living with disabilities.
- Foster a judgment-free, harm-reduction-focused environment emphasizing culturally sensitive, person-centered care.
- Deliver direct patient care involving basic interactions, triage, and preparation for medical appointments.
- Sort and triage patient results and maintain inventory management for medical supplies and medications.
- Facilitate access to care by assisting with transportation arrangements for constituents and necessary samples.
- Ensure collection, updating, and submission of program statistics and activity reports to the Director of Primary Care.
- Create and organize reports, capturing lessons learned and identifying areas for service improvement.
- Report operational issues to relevant teams and participate in problem-solving efforts with the care team and leadership.
- Communicate with partners about project goals and manage service delivery within the assigned area of accountability.
- Support quality control initiatives, including managing patient surveys and appointment tracking.
- Maintain the cleanliness and orderliness of the waiting area, exam rooms, and harm reduction stock.
- Facilitate crowd control and clinic flow, ensuring the safety and comfort of community members.
- Assist with ‘warm hand-offs’ and monitor the waiting room, ensuring all signage is visible and informative.
- Prepare snacks in accordance with site-specific guidelines and respond to emergencies as per safety protocols.
- Complete other duties as assigned, contributing to team goals and organizational requirements.
**ESSENTIAL SKILLS**
- Excellent oral, written, and overall communication skills.
- Strong computer skills, including proficiency in Word, Excel, PowerPoint, Outlook, and navigating social media; knowledge of Publisher and/or Canva is an asset.
- Exceptional organizational and time management skills, with the ability to prioritize workload and manage multiple demands.
- Ability to work both independently and collaboratively in interdisciplinary teams and various community settings.
- Ability to think critically, problem solve, and make sound judgments.
- Demonstrated knowledge of the Personal Health Information Act (PHIA).
**DECISION MAKING**
- Ability to distinguish between circumstances in which decisions can be made independently and those where consultation is needed
- Ability to determine the best recommendations to make when approached for advice or resources
- Knows how to obtain evidence-based information to make informed recommendations when necessary
**QUALIFICATIONS**
- 2 years or more of experience working in healthcare and or a similar environment
- Demonstrated experience in a busy patient care setting within a team is an asset
