Reporting to the Executive team, the Executive Office Coordinator is focused on creating capacity for the executive and leadership teams. This role performs a broad and wide set of different types of administrative and office management tasks.

**_The work requires that the person work primarily from the office. _**

**Responsibilities and Duties**

Office Operations

Performing day to day office tasks including but not limited to:

- Maintaining various databases, related systems, processes, and records
- Maintaining and organising office equipment and common areas
- Proactively identifying opportunities to improve carbon footprint and office efficiency
- Coordinating courier services and services with various suppliers
- Handling all inbound calls to the mainline, and referring calls to appropriate persons

Supporting the Executive Team with:

- Calendar management
- Preparing briefing notes on various topics as needed
- Providing administrative support related employee onboarding and offboarding
- Providing administrative support related to new client onboarding
- Assisting employees with coordinating access to Humanity's resources
- Providing support on various internal projects

Business Management:

- Offering input on opportunities to improve effectiveness of work
- Recommend and implement strategies to improve cost efficiency of project delivery
- Design and produce basic project planning templates
- Manage the CNAP program

Leadership:

- Proactively share knowledge and expertise with others
- Act as a resource to the Executive Team

**Requirements**:

- 3+yrs office experience (an equivalent combination of education, training and experience will be considered)
- Experience in capacity building roles for executive or leadership teams
- Excellent Customer Service to internal and external customers
- Resourcefulness and problem solving mindset
- Strong organizational and time management
- Ability to be adaptable, "roll up your sleeves" and pitch in where needed.
- Very comfortable using Microsoft suite programs

**Nice to Have's**
- Experience in an accounting firm
- Bookkeeping experience (specifically using Quickbooks)
