Job Title: Property & Asset Manager

**Responsibilities**:

- Implement and maintain policies and procedures for daily operations, including setting work schedules, responding to customer inquiries and complaints, and enforcing policies.
- Coordinate activities of building superintendents and cleaners.
- Ensure a high level of customer service for current and prospective tenants.
- Rent units in the building and oversee the leasing process, including posting available units, conducting viewings with prospective tenants, and completing credit checks and landlord references.
- Administer all collection of rent payments and deposits.
- Establish and maintain comprehensive files on current tenants, suppliers, and contractors.
- Work closely with the finance department to prepare and track purchase orders.
- Collaborate with outsourced property management companies in 5 countries.
- Respond to certain types of emergency situations outside normal office hours.
- Participate in the full leasing process, including review and evaluation of repairs and maintenance requests.
- Issue and deliver notices.
- Conduct annual, periodic, and pre-move-out suite inspections and coordinate maintenance.
- Ensure compliance with regular fire and life safety standards, including inspections, testing, and drills.
- Coordinate with the maintenance department to prioritize and resolve deficiencies in a timely manner.
- Lead and oversee a growing team of property management professionals.
- Recruit, train, and manage new team members for an efficient workforce.
- Set goals, provide feedback, and evaluate performance of team members.
- Foster a positive and collaborative work environment, encouraging teamwork and professional growth.
- Delegate tasks effectively, ensuring balanced workload distribution.
- Guide and mentor team members to support their development.
- Establish team strategies and goals aligned with the organizational vision.
- Communicate regularly with the team, holding meetings to encourage open communication.
- Ensure team compliance with policies, procedures, and industry regulations.
- Identify opportunities for process improvement and implement best practices.

Qualifications:

- Post-secondary education or equivalent, preferably with RPA or CPM designations (considered an asset).
- 3-5 years of property management experience (considered an asset).
- Excellent people management skills.
- Strong communication and negotiation skills.
- Strong administrative and organizational skills.
- Experience with managing multiple vendors and small capital projects.
- Ability to work independently without direct supervision.
- Flexibility to work outside regular hours as needed.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Must own a vehicle with valid insurance and valid driver's license.
- Ability to work under pressure within tight deadlines and short timelines.
- Ability to handle matters requiring diplomacy, sensitivity, and confidentiality.
- Strong ability to learn continually on the job under pressure, taking initiative even without prior training or instructions.
- Demonstrates good judgment, discretion, and diplomacy.
