Part Time Office Assistant

Reilly Transfer Group Ltd. is currently looking for a Part-time (25 Hr per week) Experienced Office Assistant hours of work are 9:00am - 2:00 pm Monday to Friday with a 1-hour lunch break. There will be potential to move into a full-time position. Reporting to the Business Manager, this person will be responsible for providing administrative support to ensure efficient operations of the accounting department. Key Responsibilities and Duties
- Collaborate with the Business Manager to maintain collection goals and general A/P performance levels.
- Obtain approval for disbursements and ensure that expenditures do not exceed available cash.
- Prepare and fill out payments to third parties, whether by cash, check, credit, and other forms of payment.
- Audits purchase requests for materials, supplies, equipment, and other collateral; verifies that orders are charged to the proper accounts.
- Review bills to the company for potential errors and/or discrepancies.
- Investigate and resolve billing discrepancies or misapplied cash transactions.
- Ensure the strict confidentiality and privacy of financial records as they relate to the organization and its business partners.
- Form payment strategies to make timely A/P payments and mitigate supplier objections.
- Investigate payment problems while following company A/P policies and procedures.
- Review fuel logs for accuracy and enter information into mileage tracker
- Demonstrate ongoing commitment to Reilly Transfer’s Safety Program, and to be actively involved and participate in the implementation of Reilly Transfer’s Health and Safety Program.
- Perform related duties as required or assigned.
- Investigate and resolve billing discrepancies.
**Qualifications**
- Minimum of 4-5 years experience in Accounts payable and/or accounts receivable
- Ability to prioritize
- Microsoft Office Proficiency with solid Excel and other MS office programs.
- Excellent communication skills
- Ability, and desire, to work in a fast-paced environment with uncompromising attention to detail and thoroughness
- Working knowledge of Truckmate computer system would be an asset.
