Clearview Public Schools invites applications for an Administrative Assistant position at the Transportation Services office in Stettler, AB. The successful candidate will be required to work four (4) hours/day Mondays through Fridays. Additional hours may be required in August to support preparations for the start of the school year. This position starts immediately.

This position is ideal for an individual that takes pride in working in a learning environment focused on student success. We are looking for a welcoming, positive, and professional individual to join our Transportation Services team. The successful candidate will be dependable, maintain a high level of confidentiality, and possess strong attention to detail. They will thrive in a fast-paced environment, work collaboratively with colleagues, and demonstrate a commitment to providing exceptional service and support.

Specific responsibilities include, but are not limited to:

  • Providing administrative support to the Director to support the efficient and effective operation of the Transportation Services Department;

  • Processing, organizing, and maintaining departmental correspondence, records, reports and filing systems;

  • Coordinating field trips and other transportation requests with bus drivers, schools and external user groups;

  • Communicating with parents, schools, staff and other stakeholders regarding transportation matters;

  • Coordinating meetings, schedules, appointments and other departmental activities;

  • Assisting with bookkeeping, purchasing, invoice processing, and the preparation and maintenance of financial records and reports; and

  • Supporting Heavy Duty Technicians with parts and inventory management, purchasing, and ordering.

The successful candidate will demonstrate:

  • Strong technology skills, including proficiency with Google Workspace and the ability to learn new software and systems;

  • Excellent written and verbal communication skills, with the ability to communicate professionally with staff, parents, contractors, and the public;

  • Strong organizational and time-management skills, with the ability to prioritize competing demands and meet deadlines;

  • The ability to work independently, take initiative, and follow through on tasks with minimal supervision;

  • A collaborative and adaptable approach, with the ability to work effectively as part of a team;

  • Strong interpersonal skills, including the ability to navigate challenging conversations and respond calmly and professionally to conflict; and

  • Strong attention to detail and accuracy when working with records, financial information, schedules, and other departmental documentation.

The successful candidate will receive a competitive salary starting at $27.37/hr and three weeks of vacation. This position qualifies for a health and wellness account.
