BJRC Recruiting is seeking a highly organized and motivated Office Manager to provide comprehensive support to our Managing Partners and ensure the smooth and efficient operation of our office. The ideal candidate will be a proactive problem-solver with exceptional communication and interpersonal skills and a strong ability to multitask effectively.

Responsibilities:

Executive Support:

● Provide direct administrative support to Managing Partners, including calendar management, travel arrangements, and expense reports.

● Manage incoming and outgoing correspondence, including emails, phone calls, and mail.

● Prepare presentations, reports, and other documents as needed.

● Assist with meeting preparation, including scheduling, agenda creation, and minute-taking.

● Work with our recruiters on a daily basis to ensure all reminders and scheduled check-ins are completed.

Client Relationship Management (CRM) Support:

● Maintain and update the BullHorn CRM database with accurate and timely information.

● Maintain the Jobs we have posted on LinkedIn and ensure that all postings and communications going out to the public are complete and accurate.

● Ensure data integrity within the CRM system.

● Generate reports and analyze data from the CRM to support business decisions.

● Set calendar reminders and tasks related to client interactions and follow-ups.

Office Administration:

● Oversee general office operations, including maintenance, supplies, and equipment.

● Manage relationships with vendors and service providers.

● Greet visitors and maintain a professional reception area.

● Assist with other administrative tasks as assigned.

Qualifications:

● Proven experience as an Office Manager, Administrative Assistant, or in a similar role.

● Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

● Experience with CRM software, preferably BullHorn.

● Excellent organizational, time management, and leadership skills.

● Strong written and verbal communication skills.

● Ability to work independently and as part of a team.

● High school diploma required; Associate's or Bachelor's degree preferred.
