Job Responsibilities

(Internal Title: Reporting Specialist)

Responsible for assisting the Program Reporting Lead in compiling, proofreading and editing of Program Reporting deliverables, dashboard content, and analysis

Delivering full life cycle development of analytics tools, including identifying user requirements, processing and preparing the data by connecting to various data sources, building reports or dashboards to address the user requirements, testing and deployment, maintenance, and user support

Work within the Program Controls Reporting Team to produce deliverables to time and quality

Work with Program teams and stakeholders to establish requirements and design of Program reports

Notify staff and stakeholders of reporting requirements and timelines to ensure deadlines are met

Facilitate and support the monthly internal management and client review meetings

Assist in the continual development of Program Controls reporting methods and formats

Assist in the development of forms, tools, and processes for collecting project and program status information

Properly document functionality and technical specifications of the analytics products under their scope

Hands-on experience in the production of high-quality reporting documents using Microsoft Power BI, with a good understanding of DAX and Power Query

Coordinate with teams and stakeholders to produce Program level reporting

Co-ordinate the input and production of key monthly Program reports

Quality assures all key reports to ensure a consistent and high standard of project and program reporting

Works with database specialists to ensure the quality and efficiency of Program reporting

Experienced in Project/Program control tools, processes, and techniques

Assist in the development of forms, tools, and processes for collecting project and program status information

Hands-on experience in the production of high-quality reporting documents

Technical writing and graphic design experience are a plus

Coordinate with teams and stakeholders to produce Program level reporting

Experienced in Project/Program control tools, processes, and techniques

Substantial experience in the use of computer software products including online dashboarding, graphic design, and data applications. Must be fluent in Microsoft Power BI, Word, Excel, PowerPoint, and Visio with skills in Macros, data warehousing and coding are an asset

Knowledge and experience in the use of Microsoft SharePoint, SQL, Primavera P6 scheduling, and Earned Value software are all an asset 

Design, develop, and generate project and program reporting and dashboard templates according to the needs of the project 

Manage the assembly and review the editing and submission of all reporting outputs, including the monthly and quarterly progress reports, dashboards, interactive reporting, and other ad-hoc reports as needed by management or other key stakeholders 

Work with teams including Accounting, Finance, Scheduling, Cost Controls, Communication, Risk Management, and third-party and property functional teams to collect, review, edit, and incorporate the various inputs to ensure that the various components fit seamlessly into the overall report 

Understand and interpret schedule critical path and earned value metrics 

Support management in interpreting the Project and Program report information 

Collaborate with delivery teams to ensure the reports contain timely and informative data and analysis 

Engage the management of the cross-functional teams to develop and introduce continuous improvements to enhance report quality 

Participate in the design, development, test, and roll-out of an automated reporting process with PMIS and IT 

Develop and communicate cross-functional reporting and work with the project team to ensure adherence

Oversee the preparation and issuance of requests for report information, monitor and manage the collection of data to ensure timeliness and completeness

Understand and identify query data anomalies, inconsistent messaging, or variances within sections of a single report, and between multiple reports 

Formulate and implement new report templates for internal use within the PMO based on management requirements 

Liaise with the functional and other leads to implement best practices, engage in ongoing review and improvement cycles to produce the highest quality reports, and check for consistency across the program 

Build relationships with key stakeholders and input providers to receive inputs for reports and dashboard

Qualifications Required

Experience: 

Minimum of 8 years of experience in Project Controls, specifically Project Reporting

At least 2 years experience in Program Controls and/or Program Management

Education:

Bachelor’s degree or Diploma in a related field

Licenses OR Certifications:

Holding recognized certifications including PMP and PSP is an asset

Skills and Competencies: 

Substantial experience in the use of computer software products including online dashboarding, graphic design, and data applications. Must be fluent in Microsoft Power BI, Word, Excel, PowerPoint, Visio

Knowledge & experience in the use of Microsoft SharePoint, Power Automate, SQL, Primavera P6 scheduling, and Earned Value software all a plus

Technical writing and graphic design experience are a plus

Well-organized and proactive with excellent communication skills

Excellent oral and written communication skills are essential 

Excellent interpersonal skills with an ability to work closely with peers, senior managers, and external stakeholders

Proven ability to effectively co-ordinate activities within and across large organizations 

An ability to achieve business results working in a multi-cultural and multi-national environment

Maturity of judgment under pressure and ability to resolve problems without delay

Able to meet deadlines

Working experience with Primavera P6, MS Project, and other Earned Value and PMIS tools such as Power BI 

Demonstrated experience working within a multi-disciplinary construction project environment 

Thorough knowledge of Risk and Cost Management 

Advanced skills in MS Office especially Excel 

Sound understanding of contract structures including Design Build and Design Build Finance 

Proficient in the use of software applications or systems relevant to the work (i.e. spreadsheets, word processing, Outlook, etc.) 

Ability to arrange priorities and escalate competing risks to meet deadlines with minimum input from leadership

Keen eye for detail and adept problem-solving abilities

Excellent reading and language comprehension 

Exceptional people skills and ability to communicate effectively with various levels of stakeholders 

Tailor technical information for different audiences through presentations, reports, and other means independently 

Must have demonstrated experience relaying and receiving information (written and verbal) in a demanding multidisciplinary project environment 

Expert ability to work collaboratively and independently in a structured, disciplined, technology-driven environment
