We’re excited to be looking for a Vice President of Operations (VP Operations), the first of its kind here at Academy as we continue to invest in our growth and well-being of the agency.

This role, a central and vital piece of our team, involves a broad area of responsibility that requires a finger on the pulse of all company affairs – from improving day-to-day operations, to building & analyzing reports, and upkeeping the people-first culture that we work so hard to build.

We’re looking for someone who is not only talented at operational excellence, but someone who can also lead and inspire others to work in a way that makes us more efficient, harmonious and profitable.

On a day-to-day basis, the VP Operations will be responsible for:

Operations
Analyze company data, build strategic plans and execute operational activities to meet company goals. Optimizing on opportunities for further growth; continually seeking and identifying new opportunities to reduce costs, grow the business and our services.
Collaborate across departments to promote integration, eliminate siloing, improve processes and carry out the organization's goals and objectives. Develop and implement efficient workflows and processes to optimize the performance of the integrated teams and departments
Acting as the lead and Project Manager for various special projects (eg the website or the Academy Creator Roster) to ensure a timely and effective execution
Establish, communicate, and implement company policies, practices, standards, and other measures to ensure compliance across the agency
Leading relevant parties (vendors, suppliers, partners etc.) to establish the necessary infrastructure to run the business, with legality and conformity to established regulations. Including but not limited to insurance coverage, employee benefits, programs and more.
Assess and maintain the tools and subscriptions used for the agency, ensuring they are needed and used optimally in a cost-efficient way
Foster a results-oriented mindset across the agency. Set clear and measurable objectives. Track KPIs and communicate progress.
Overseeing a safe and optimal work environment, from the the physical office space to online/digital work spaces
Stay up-to-date with industry trends and best practices, incorporating new techniques and technologies into the processes to enhance output quality. Discuss with stakeholders to continuously improve processes

Resourcing
Forecasting and allocating the relevant resources required by the company, and working in conjunction with the relevant parties to effectively staff projects
Develop an efficient process for resourcing and introduce tools as needed
Freelancers
Build and maintain a roster of freelancers
Develop the freelancer approval process
Build and manage freelancer contracts
Review and approve freelancer invoices for processing

Management
Acting as senior leadership and providing mentorship for the Operations department; ensuring direct reports are delegated appropriate tasks and projects while ensuring they are challenged, motivated, and engaged; accountable for high performing, high-functioning teams. Being accountable for the growth and development of direct reports with regular 1:1s, performance reviews, and performance improvement plans as needed
