Administrative Assistant, Fitness & Sport Services Position Title Administrative Assistant, Fitness & Sport Services Position Summary The Administrative Assistant, Fitness & Sport Services provides a wide variety of administrative support which contributes to the efficient and professional operation of the Gary W. Harris Canada Games Centre. Under the leadership of the Manager, Fitness & Sport Services, the incumbent is responsible for: Physical Abilities Requirements Evaluation (PARE) and Fire Testing program entry. Entry for daily drop‑in schedules for members and community. Event and program registration via Xplor Recreation entry. Budget monitoring, tracking, and reporting. Facility purchasing. Contracts and employment administration. Social media and website administration for the Gary W. Harris Canada Games Centre. Program reception, marketing, data management, communication, and general office duties. Serve as the first point of contact for external community wellness and partnership event bookings, including contract development, invoicing, and responding to inquiries. Administrative Support & Software Management Provide excellent, accurate customer relations and information to all stakeholders. Create all internal and external fitness & recreation sport invoicing and facility contracts using Xplor Recreation. Approve and complete refunds for services using Xplor Recreation. Communicate client information regarding outstanding invoice payments. Update fitness, sport, and recreation waivers and other program related materials as required. Maintain multiple department email accounts and calendars; respond to routine correspondence promptly. Complete quarterly data entry of music services via Entandem Licensing software. Manage credit card holder software and related data collection. Maintain inventory and software entry, tracking supply usage in compliance with policies. Complete hiring processes including job postings, selection committees, and related duties. Enter employment contracts and compile related letters. Orient new/returning employees and contractors as required. Track budgets and provide budget information to the Manager. Provide administrative and program support for fitness, sport, PARE, Fire testing, and other areas as requested. Generate statistical and revenue data reports from Banner and Xplor Recreation. Handle purchasing for facility, events, programming, fitness equipment, supplies, and materials. Route requests for meetings, bookings, and services to relevant departments. Attend department meetings as required. Human Resources and Finance Reporting Complete hiring processes, including job postings, selection committees, contract entry in Banner, and coordination with People & Culture and Payroll. Create and upload job postings and required documentation to PeopleAdmin. Facilitate recruitment and hiring by providing hiring committees with required access and scheduling interviews. Create contract letters via DocuSign for new hires. Monitor timelines related to employee start dates, end dates, probationary periods, and onboarding dates. Marketing & Communication Compile program plans and prepare ideas for digital screens, printed marketing materials, and website content. Schedule layouts for all social media platforms. Update and respond to all social media platforms. Serve as website editor, maintaining accurate and up‑to‑date content. Ensure timely implementation of marketing development. Communicate program information to staff clearly. Collaborate with Athletics, Events & Community Engagement Coordinator, and other units to develop and host events. Provide excellent customer relations to external and internal partners. Maintain all email and calendar platforms. Required Qualifications Two (2) years of post‑secondary training in Business Administration, Office Administration or equivalent. Minimum two years of experience providing comprehensive administrative support in a fast‑paced, demanding environment. Excellent customer service skills and a passion for working with students and the public. Knowledge and understanding of administrative processes used in large organizations. Intermediate computer skills including Microsoft Suite, Banner, Cognos. Independent decision‑making, problem‑solving, and analytical skills. Excellent verbal and written communication skills. Knowledge of modern office practice and procedures. Experience preparing letters, memos, and other correspondence accurately. Ability to work effectively as a team member at all organization levels. Outstanding organizational and time‑management skills. Ability to work under pressure and meet deadlines. Demonstrated initiative and motivation. Current knowledge of the administration of a post‑secondary institution (preferred). Accuracy and attention to detail. Listening skills. Preferred Qualifications None specified beyond the required qualifications. Salary $31,265 (equivalent to $24.05 per hour) as a full‑time permanent part‑time position (0.71 FTE). Support program cycles, including registration and wait‑list management. Provide branch support and duty manager shifts. Assist YMCA campaign and program promotion. Ensure staff and volunteers receive training. Communicate effectively in various settings.Deliver quality member service. Facilitate leadership programs for staff and volunteers.
