Coordinator, Facility & Operations (Aquatic Centre) Job Profile: The Coordinator is responsible for front‑line management of student‑staff (30) and operations coordination at the UBC Aquatic Centre. The role includes scheduling the facility, facilitating private bookings and equipment rentals, cash reconciliation, inventory management, sales reporting, and booking contracts. Regular business hours with flexibility for evenings and weekends. Organization: Athletics & Recreation (A&R), part of VP Students portfolio. Reports to the Senior Manager, Programs & Operations. Key Responsibilities Provide front‑line management of the front desk, facility, and event operations. Implement customer service plan and administer registration system. Handle cash, petty cash, deposits, and ensure secure payment processing. Manage inventory of POS items and retail services. Approve refunds and enforce established policies. Oversee sales of facility memberships and drop‑in programming; set scheduling. Analyze product demand using PerfectMind and recommend to Senior Manager. Perform facility and equipment inspections; coordinate maintenance and cleaning. Represent facility on Local Safety Committee (LST). Draft Safe Work Procedures for relevant areas. Create and develop rental contracts; collect rental payments. Manage facility calendars, maximize profitability, and ensure accurate bookings. Coordinate event plans, vendors, and staff; oversee event execution. Provide pre‑event training for non‑UBC staff. Recruit, hire, train, and evaluate CUPE 116 Front Desk Attendant student‑staff. Develop training manuals and onboarding procedures. Maintain fiscal accountability, prepare budgets, reconcile accounts monthly. Implement marketing and promotion initiatives for the Aquatic Centre. Minimum Qualifications Undergraduate degree in a relevant discipline. Minimum two years of related experience or equivalent education and experience. Commitment to equity, diversity, and inclusion. Preferred Qualifications Degree in Business, Public Administration, Human Resources, etc. Strong leadership, organizational, planning, and time‑management skills. Financial and accounting proficiency. Excellent verbal and written communication. Attention to detail. Project management, coaching, and customer service competencies. Experience with live entertainment & event management. Advanced Microsoft Office, SharePoint, and PerfectMind or Class. Full Class 5 driver’s licence. Physical ability to lift up to 50lbs.
