Role accountabilities In this role, you will be responsible for transmitting documents (in Aconex), managing transmittals and upholding Arcadis’ document control processes and principles for Civil Engineering projects. You will closely follow established procedures to ensure the accurate management and organization of project documentation throughout all phases of delivery. Your responsibilities will include keeping meticulous records and maintaining comprehensive document logs for project details, meeting minutes, technical specifications, and drawings. You will also be responsible for transmitting, archiving, controlling, and retrieving records as needed, ensuring all documents are readily accessible and securely stored. As part of your daily activities, you will scan, image, index, and organize project documents, classifying, sorting, and categorizing them according to the project’s document control system. You will control the issuance of documents, ensuring the appropriate approvals are obtained before documents are distributed. You will review documents for completeness and accuracy, performing quality checks in accordance with established document control processes to maintain the highest standards. Your attention to detail will be vital in supporting the integrity and reliability of project documentation. Additionally, you will be tasked with handling file migration activities, assisting in internal and external audits, and providing regular status reports on the documentation to help track progress and ensure transparency within the workflow. You will maintain logs for Requests for Information (RFIs) and manage the distribution of RFI responses to relevant stakeholders, supporting efficient communication and collaboration across project teams. Qualifications & Experience Bachelor’s Degree and / or Diploma in Information Management Proven experience as a Document Controller in the Civil Engineering sector, ideally Transportation Involvement with large and complex projects from concept to delivery – P3 experience would be desirable Our Ideal candidate will have: Ability to prioritize daily tasks, manage time well, multitask and troubleshoot while handling multiple deadlines Detail-oriented, dependable and trustworthy when in contact with complex and sensitive documents Self-directed - the ability to work independently and used to working in a fast-paced and deadline driven environment Stay focused and carry out their tasks in a timely and accurate manner Ability to interact and coordinate with internal and external business partners Strong communication and presentation skills – both verbal and written Preferable to have experience working on construction sites Experienced with EDMS (SharePoint, Aconex, ProCore) Experienced in working in a fast-paced and dynamic environment Why Arcadis?
