Inventory Specialist Position type: Casual Compensation Wage $24.00/hr-$26.00/hr Position Summary The Inventory Specialist is responsible for ensuring the efficient and accurate management of medical and surgical inventory in alignment with company policies and vendor agreements. This role plays a key part in supporting patient care by ensuring the right supplies and implants are available when needed. The Inventory Specialist maintains the integrity of the inventory management system, tracks supply levels, coordinates with vendors and clinical teams, and ensures compliance with contract terms and internal standards. A high level of attention to detail, organization, and communication is essential to success in this position. Reporting Relationship This position reports directly to the Assistant Director of Operations, and works closely with surgical services leads, accounting, and external vendors. Key Responsibilities Collaborate with surgical services leads to ensure accurate and consistent availability of supplies and implants. Receive and store medical supplies and equipment in an organized and timely manner. Creation and tracking of purchase orders, manage inventory records, and monitor item usage and shelf life. Report damaged or deficient items to management and suppliers. Audit and replenish supply carts based on established protocols. Ensure first-in, first-out (FIFO) principles are applied in inventory usage. Audit outgoing orders, identify discrepancies, and arrange returns of damaged or recalled products. Maintain inventory-related statistics for reporting purposes. Standardize and optimize the value and utilization of items purchased. Liaise with clinical departments and suppliers to resolve product discrepancies or concerns. Manage the shipping and receiving of loaner equipment and repairs. Close out purchase orders and fiscal periods in the inventory system within required timelines. Coordinate with stakeholders to update and manage surgeon preference cards within the ERP system (HST), ensuring accurate supply capture, case costing, and financial reporting, based on procedural changes, surgeon feedback, or supply availability. Review and post transactions in ERP for surgical cases to ensure precise case costing, helping the facility monitor supply expenses. Review and approve supplier invoices and credit memos, ensuring pricing, quantities, and receiving are aligned with records. Review weekly operating room schedules to anticipate required supplies for upcoming procedures. Participate in regular inventory counts, audits, and reconciliation activities. Education Requirements / Experience Completion of a post-secondary certificate or diploma in Supply Chain Management, Business Administration, or a related field. Minimum of 2 years of inventory or supply chain experience, preferably in a healthcare or clinical environment. Experience with inventory management systems; knowledge of medical supplies and surgical equipment is an asset. Familiarity with accounting systems and invoice processing is preferred. Knowledge, Skills and Abilities Strong organizational and time management skills with high attention to detail. Proficient in Microsoft Office Suite (Excel, Outlook, Word) and inventory management software. Excellent written and verbal communication skills for internal and external coordination. Ability to anticipate supply needs based on surgical schedules and usage patterns. Strong problem-solving skills and ability to take initiative when resolving inventory issues. Knowledge of supply chain practices, product shelf life, and procurement standards. Team-oriented with the ability to work collaboratively across departments. Demonstrates accountability and professionalism in all tasks. Physical Requirements and Job Behaviour Work is primarily performed in a clinical storage environment and may involve frequent movement throughout the facility. Must be able to lift and move medical supplies and boxes weighing up to 30–50 lbs. May require prolonged periods of standing, walking, or bending. Commitment to safety, infection control practices, and maintaining a clean and organized work area. Adaptable and responsive in a fast-paced, patient-focused healthcare setting.
