This role supports compliance, operational tracking, and departmental efficiency while allowing managers and trade staff to focus on technical and supervisory responsibilities.Responsibilities:Staffing & Payroll SupportPerform and assist with Facilities staff payroll processing and reporting.Provide administrative support for staff scheduling to ensure adequate operational coverage.Track staff training records, identify training gaps and assist with coordinating training details.Assist with ad hoc HR and staffing administration, in coordination with managers.Administrative & Coordination SupportProcess and ratify purchase statements and invoices; maintain updated department accounts.Maintain files and documentation for contractors, service agreements, and compliance requirements.Support the administration of building access and security control systems.Assist in inventory tracking and ensure adequate materials and supplies are available.Assist with Health & Safety documentation, compliance tracking, and reporting.Maintain records of inspections, maintenance schedules, and operational reports.Project & Contractor SupportSupport stewardship programs, contractor policy renewals, and service agreement tracking.General SupportSupport day-to-day operational communications with internal teams and external stakeholders.Provide backup coverage for administrative duties during staff absences.Assist with ad hoc operational and administrative projects as required.Adhere to the Stratford Festival Health & Safety Commitment and Procedures, and ensure that safe work practices and policies are supported and enforced within reporting structure.Perform other duties as assigned.Minimum Qualifications:Post-secondary diploma program, typically a two year program, or equivalent, (i.e. Community college, Technical Institute or Trade School, etc.)1 to 2 years of administrative or operational support experience, preferably in facilities, maintenance, or property management.Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and scheduling tools.Strong organizational, multitasking, and communication skills.Ability to coordinate multiple stakeholders and handle confidential information.Communication: actively listen and effectively transmit and receive informationTime Management: efficiently allocate and use time to meet goals and deadlines, prioritize tasks as necessary.Organization skills: create structure and optimally use resources to achieve results and ensure productivityTeamwork: readily work with others towards a shared goal, actively support teammates and recognize everyone’s contributionsThis part-time (20 hours per week) posting is for a newly created positionlocated in Stratford, Ontario and will begin as soon as possible. This position requires the candidate to work onsite.Regular work hours for this position are Monday to Friday, but may require the candidate to work holiday and weekend hours as scheduled.
