About the job Administrative CoordinatorOFFICE ASSOCIATE - Temporary Administrative CoordinatorCasual/ Multiple Businesses/ Multiple LocationsPosition Summary:Our Administrative Coordinators are prepared to act as the support person for all levels of management within an organization. We recognize that it is vital for Administrative Coordinatorsto uphold a level of professionalism and competency in order to successfully manage a variety of responsibilities including but not limited to helping coordinate meetings and calendars, compiling data to prepare papers or presentations, and often acting as a representative to their assigned executive.Duties & Responsibilities:Oversee all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondenceFile important documents, such as reports, meeting notes, emails, and lettersKeep calendars up to date; adding events, rescheduling appointments and providing daily briefingsAct as the gatekeeper for internal and external contacts, including vendors, colleagues, clients, and customersConducting research and creating reports or presentations on various topicsKeeping important information and documents organized physically and electronicallyMaintaining a high degree of discretion and confidentialityHandling and assisting with document distribution and other administrative projects and responsibilitiesReturning phone calls and emails on behalf of the company or a company executiveResearching travel options, presenting itineraries, and booking itineraries with travel agency contactPreparing and submitting purchase orders and expense reportsImplement administrative systems, procedures and policies to maintain work flowUse a variety of project management, communication and organizational skills to support managementAdditional duties as requiredQualifications & Skills:High School Diploma or GEDDiploma preferred but equivalent experience may be consideredMinimum five (5) years experience in an office setting or administrative roleProficient on computersExcellent time management skills and ability to multitask and prioritize workAttention to detail and problem solving skillsExcellent written and verbal communication skillsStrong organizational and planning skillsStrong attention to detailSubmit your resume and cover letter to The Agency at recruiter@theagency212.comAny questions can be directed to Courtney 780-833-1112.At The Agency, we prioritize your privacy and confidentiality.
