We are currently looking for a highly skilled, caring and safety‑focused individual who will report directly to the Project Manager/Construction Manager. The Senior Project Coordinator will assist and support project managers on various projects and will be responsible for all coordinating duties and administrative processes. Responsibilities Project Coordination: Lead and coordinate the planning, execution and monitoring of construction projects. Collaborate with project managers, subcontractors, suppliers and clients to ensure project goals are met. Prepare, coordinate and monitor all deficiencies to completion. Supervise and mentor junior project coordinators, providing guidance, training and performance feedback. Ensure the project team adheres to provided timelines and deliverables. Prepare contract revisions for approval by the Project Manager. Provide innovative solutions to issues that may arise during the project. Manage day‑to‑day activities for the Project Management team. Monitor and provide feedback on subtrade performance. Document Management Oversee maintenance of accurate project documentation, including contracts, permits, plans, schedules and reports. Ensure proper version control and accessibility. Record, track and process all construction drawings. Utilise Buttcon’s Project Management, scheduling and accounting software to complete all project administration. Prepare close‑out documentation, including O&M manuals, warranties, coordinate warranty work and archive project records. Scheduling and Tracking Develop project schedules, incorporating milestones, tasks and dependencies. Monitor progress, track deviations and propose solutions to keep projects on track. Assist in preparing the project baseline schedule and updating it throughout the project. Communication Management Facilitate clear and effective communication between project stakeholders. Provide regular updates to managers, clients and team members. Resource Allocation Collaborate with project managers to allocate resources, including labour, equipment and materials. Ensure resource availability to meet milestones. Assist in securing new work by participating in pre‑tender site meetings, receiving quotations from trades, delivering tenders, and participating in proposals and presentations. Prepare, track and process shop drawings, RFIs and SIs. Issue and Risk Management Identify potential project issues and risks. Develop and implement strategies to mitigate risks and address issues promptly. Budget Oversight Assist in tracking project expenditures against budgets. Collaborate with managers to manage costs and propose cost‑saving measures. Assist in reconciling subtrade and supplier accounts. Assist in preparing budget reports, monthly project cost reports, cash‑flow and progress billings. Quality Assurance Oversee quality control processes to ensure construction activities comply with specifications, standards and safety regulations. Conduct regular inspections. Ensure compliance with Buttcon’s Health and Safety Program and Policies & Procedures Manual. Client Relationship Establish and maintain positive relationships with clients. Address inquiries and concerns while ensuring deliverables meet or exceed expectations. Maintain excellent relationships with owners, architects, consultants, trades and the public. Skills and Attributes Excellent communication and interpersonal skills. Proven ability to diagnose, analyse and develop solutions to complex issues. Ability to multitask and prioritise various tasks with conflicting deadlines. Analytical and strong problem‑solving ability. Effective verbal and written communication skills. Strong organisational skills and high attention to detail. Ability to work independently and as part of a team. Ability to adapt to changing environments and timelines. Qualification Requirements Engineering degree (Civil/Construction/Architectural) or technical college diploma in Construction Management or an equivalent combination of technical training and related experience. Minimum of 5 years of construction experience of equivalent scope. Knowledge of all aspects of construction (technology, equipment, methods), industry practices, estimating/budgeting and scheduling. Strong understanding and adherence to safety standards. WELL accreditation is an asset. Computer literate, including proficiency with Microsoft Office Suite and Microsoft Project. Experience with Primavera P6, Procore and BIM software knowledge is an asset. Working Conditions and Environment Primary work location: head office or project sites. Project‑related travel anticipated. Exposure to construction worksite environment in all seasons.
