Reporting to the Project Manager/ Construction Manager, the Senior Project Coordinator will assist and support the Project Manager(s) on various projects. The Senior Project Coordinator will be responsible for all coordinating duties and assist with the project administrative processes.

Responsibilities

Project Support:

  • Assist project managers in planning, organizing, and coordinating construction projects.
  • Collaborate with cross-functional teams to establish project goals, timelines, and deliverables.
  • Assist the project team to adhere to the timelines and deliverables.
  • Record, track, and process all construction drawings.
  • Process all Change Orders and Contract Revision for approval by the Project Manager.
  • Provide innovative solutions to issues that may arise during the project.

Document Management:

  • Maintain accurate project documentation, including contracts, permits, blueprints, specifications, and other relevant records. Ensure proper version control and accessibility to team members.
  • Understand the contract documents.
  • Prepare a submittal log.
  • Track, and process all submittals (shop drawings, product data, samples, inspection reports closeout documents etc.).
  • Track and process all RFI's, and SI's.

Scheduling:

  • Develop and maintain project schedules, incorporating critical milestones, tasks, and dependencies. Monitor progress against schedules and identify potential delays or deviations, proposing solutions as necessary.
  • Manage day-to-day activities for the Project Management team.

Communication:

  • Facilitate clear and effective communication between project stakeholders, including project managers, subcontractors, suppliers, clients, and regulatory authorities. Provide regular project updates and reports to the relevant parties.
  • Maintain excellent relationships with owners, architects, consultants, trades, and the public.

Resource Coordination:

  • Coordinate the procurement of materials, equipment, and services required for construction projects. Collaborate with procurement and logistics teams to ensure timely delivery and allocation of resources.
  • Utilize Buttcon's Project Management software, to complete all project administration.
  • Coordinate warranty work with the Project Team.

Risk Management:

  • Identify potential risks and issues that could impact project timelines, budgets, or quality. Work with project managers to develop mitigation strategies and contingency plans.

Quality Assurance:

  • Monitor construction activities to ensure adherence to project specifications, industry standards, and safety regulations. Conduct regular inspections to verify work quality.
  • Prepare close-out documentations, including O&M manuals, warranties, and archive project records with the assistance of the Project Closeout Coordinator.

Budget Tracking:

  • Assist in tracking project expenditures against budgets. Raise awareness of any potential cost overruns and support the implementation of cost-saving measures.
  • Track, price and process all Change Events and ensure the Project Manager has reviewed the Change Event before submission to the Owner and/or Consultant.

Meeting Coordination:

  • Organize and facilitate project meetings, including preparation of agendas, meeting minutes, and action items. Follow up on action items to ensure timely completion.
  • Ensure compliance with Buttcon's Health and Safety Program and Buttcon's Policy and Procedures Manual.
  • Assist in securing new work by participating in pre-tender site meetings, receiving quotations from trades during a bid closing, delivering tenders, and participating in proposals and presentations.

Change Management:

  • Assist in managing changes to project scope, schedule, or budget. Document change requests, assess their impact, and communicate adjustments to relevant stakeholders.
  • Supervise, mentor, coach, and train other project personnel, when applicable.
  • Monitor and provide feedback on subtrade performance.
  • Any other duties as assigned.

Qualification Requirements

  • Engineering degree (Civil/Construction/Architectural) or technical college diploma in Construction Management or equivalent combination of technical training and/or related experience
  • 5+ years of construction experience.
  • Knowledge of all aspects of construction specifically including submittal, RFIs, Change Events and closeout.
  • Strong understanding and adherence to safety standards
  • LEED Accredited is an asset
  • Net Zero, WELL and Passive House an asset.
  • Computer literate, including proficiency with Microsoft Office Suite, including Microsoft Project
  • Primavera P6 an asset
  • Axis Accounting Software an asset
  • Procore an asset
  • BIM an asset

Working Conditions and Environment

  • Primary work location is in the head office or project sites
  • Project related travel anticipated
  • Exposure to construction work site environment in all seasons
