OverviewThe Health Centre provides a broad range of services aimed at improving the health of individuals and the wider community. Our services include medical and dental care health promotion illness prevention and outreach programming. Our expertise and resources are focused on working with those who experience health inequities and barriers to accessing health services. Collaborating as an interdisciplinary team we provide services and supports that address the social determinants of health including factors and barriers such as poverty inadequate housing food insecurity substance use language and culture as well as stigma and social exclusion.The Health Centre works with the most complex client population served by primary health care professionals within Waterloo Region. Our highly skilled and diverse team works from a strength-based approach with individual clients as well as the broader community. We collaborate with many partner agencies and organizations within Waterloo Region. Our team consists of Family Physicians Nurse Practitioners Registered Nurses Social Workers Dietitians Chiropodists Pharmacists Psychiatrists Health Promoters Community Health Workers Administrative Staff and Volunteers.We invite you to consider this opportunity to join our team and contribute to this important work.The Health Centre is currently recruiting for the following position :Accounting SpecialistFull Time Permanent (1.0 FTE) 37.5 hours per weekCompensation : $52931.21 - $63772.45 per annumPosition SummaryAs a member of the Finance Team the Accounting Specialist performs a variety of accounting functions as assigned including recording transactions journal entries reconciliations and reporting.Specific ResponsibilitiesRevenue ManagementProcess and maintain records of all revenue received such as Ministry of Health Ontario Health Association funding agencies and partners donations and accountsPrepare reports and invoices for funders as assigned.Prepare and record bankFinancial AccountingProcess accounts payable and expense reports : ensure coding is consistent with budget and follow up on discrepancies with other staff asProcess cheques & EFTs and coordinate with the signingPrepareProcess accountsPrepare AR statements aged receivable reports and maintain allowance for doubtful accounts.Prepared adjustments and journal entries asPerform account reconciliations asMaintain and reconcile general petty cash. Reconcile staff program floats and petty cash.Maintain Chart of Accounts.ReportingPrepare internal financial statements balance sheets and other reports as assigned.Prepare working papers for the annualPrepare statutory reports such as HST Rebate and others as required.Download payroll journal entry and import to GeneralPayrollAct as back up for HR & Payroll Assistant when required to prepare payroll submission as directed by the Finance Manager including :Compile time sheets and review for completeness and Enter all Payroll data (earnings and deductions) and attendance data for salaried and hourly employees.Prepare electronic payroll file forProcess data to the external payrollDownload payroll journal entry and import to GeneralAdditional ResponsibilitiesMaintain financial files and records /Make recommendations to management for the development and / or revision of policies and procedures.As a Student Supervisor provide orientation ongoing support coaching and monitoring in order to meet the requirements of the Health Centre and of the educational institution.As a Volunteer Supervisor provide support training monitoring and on-going communication as needed for the volunteer to successfully fulfill their position description.Work during both regular and extended hours (evenings) and to be determined by the Health Centre.Participate in team and staff meetings and other meetings and committee work as appropriate to support both service delivery and organizational goals.Collect analyze and report on data and relevant information and participate in research as determined by the Health Centre.Contribute to the Health Centres practices of hiring orienting and training ofWork individually and collaboratively in the development and implementation of quality improvement initiatives and activities.Work in a manner that preserves privacy and confidentiality.Work in a manner that ensures client safety and minimizes risk to clients volunteers and the Health Centre.Work in a manner consistent with the Health Centres Vision Mission and Guiding Principles.Work in a manner that demonstrates self-reflection and personal accountability for work performance.Adhere to all CHCKW policies.Maintain a valid drivers license access to a reliable personal vehicle and adequate insurance for work-related travel in accordance with CHKW policy.Work in a manner consistent with the Health Centres policy and commitment to Diversity Equity and Inclusion in all processes and practices.Participate in research as determined by the Health Centre.Adhere to appropriate infection control practices including immunizations.Perform any other duties as assigned by your supervisor.AccountabilityThe position is accountable to the Finance ManagerQualificationsPost-secondary diploma or certificate in accounting.Minimum of two years of experience performing full cycle accounting up to and including trial balance preferably in a non-profit setting.Experience preparing financial reports forecasts and government filings.Minimum of one year of experience utilizing Microsoft Dynamics Great Plains accountingExperience in a non-profit and fund accounting environment is an asset.Knowledge of Canadian payroll practices and experience with electronic payroll is an asset.Proficiency in the use of a personal computer and software programs including Microsoft Office email and internet.Experience with OHRS is an asset.Excellent organizational and time-management skills.Demonstrated ability to communicate effectively in English both written and verbally.Ability to work independently as well as an effective member of an interdisciplinary team.Ability to work collaboratively.Ability to maintain strict confidentiality.Experience working sensitively with culturally and economically diverse populations.Ability to obtain a Police Vulnerable Sector Check satisfactory to the Health Centre.2-Factor Authentication for Outlook is App based (Microsoft Authenticator Application) and used to ensure the security of our online accounts. 2-FA requires the use of a personal mobile device with a recent operating system.Hours : 37.5 Hours per weekMonday / Tuesday / Thursday 9am-5pmWednesday 9am 5pm or 12 pm 8pm based on clinic requirementsFridays 8am 4pm or 9am 5pmBenefits package :Paid Vacation Leave : 3 weeks to start; 4 weeks after 1 yearDefined Benefit Pension Plan (through HOOPP)Employer paid extended health and dental insuranceLife Accidental Death and Long-Term Disability insuranceEmployee Assistance PlanApplication Deadline : October 27th 2025The Health Centre values the diversity of its staff and welcomes applications from people of all races ethnicity religions culture sexual orientation gender identity and those with disabilities.
