Position Summary Reporting to the Manager, Learning and Partnerships, the Program Coordinator supports delivery of volunteer promotion and recruitment activities by planning VO’s participation in community events and the Volunteer Talks program. The Coordinator is responsible for recruiting, scheduling and supporting a team of volunteers, planning events, liaising with community groups and creating a variety of communication materials. This is a 6-month contract position that may be extended as a part-time position at the end of the period.

The ideal candidate is an excellent communicator, highly organized, and a proficient user of computer-based office systems including the Microsoft Office suite. Previous experience in a customer service setting and/or supervising the work of others is especially valued.

Responsibilities Community Outreach: Plan, organize and ensure delivery of VO’s volunteer promotion and recruitment activities (in-person and virtual) in the Ottawa community Build relationships with local organizations and community groups to identify and schedule opportunities for VO to participate in events and meetings suited to volunteer recruitment Respond to incoming requests for Volunteer Talks and participation at local events. Represent Volunteer Ottawa at in-person and virtual events, such as volunteer fairs, exhibitions, and community gatherings, to promote volunteer opportunities and engage with prospective volunteers Maintain up-to-date records of all VO outreach activities for evaluation and reporting.

Communications and Marketing Support: Collaborate with the communications lead to develop and curate compelling volunteer recruitment presentations, speaking notes, marketing materials and content for VO’s website, newsletters, and social media platforms. Select and adapt materials to support a variety of recruitment activities, audiences, and volunteers, maintaining them in a well-organized library.

Volunteer Program Delivery: Recruit, train and supervise volunteers to support VO’s recruitment activities (speaking engagements, event kiosks, table displays, etc.) Maintain up-to-date, accurate records of volunteer service Plan and execute meaningful volunteer recognition initiatives to foster a culture of appreciation and engagement within Volunteer Ottawa

Experience Required Experience working in a customer service setting requiring excellent skills in dealing with the public, communications, organization, and record keeping (such as a retail, restaurant, or other service environment). Experience supervising, scheduling and/or training other employees would be an asset.

Travel Requirements Travel within the greater Ottawa area will be required for in-person community events and speaking engagements. Travel expenses will be reimbursed.

Language profile English essential; bilingual (English and French) strongly preferred; other languages considered an asset.

Work arrangements Candidates must be based in Ottawa or willing to relocate before starting. The role is a hybrid format and will require regular in-office time as well as remote work and event-based work around the city. Participation in some evening and/or weekend events may be required.
