Job ID: 43003 Job Type: Direct Hire Category: Administration Location: Calgary, Alberta Our reputable client is seeking a Property Management Coordinator to join their team on a permanent basis. This role provides administrative and operational support to the team, helping ensure the smooth day-to-day management of the property portfolio. We’re looking for someone with 2-3 years of experience in property administration or coordination, within commercial or industrial real estate. The successful candidate will assist with tenant relations, lease administration, and general accounting support, while coordinating vendors and maintenance requests. Strong organization, communication, and follow-through skills are essential, along with a proactive, service-oriented approach and the ability to thrive in a team-focused environment. Duties and Responsibilities: The key job functions are: Provide administrative and operational support to the Real Estate Team, including preparing correspondence, reports, and documentation. Assist with Real Estate administration – track key dates, draft and review lease Real Estate documentation, and update internal systems. Maintain tenant files, service contracts, and insurance certificates. Act as a point of contact for tenants, contractors, and vendors – respond to inquiries and coordinate maintenance or repair requests. Support the preparation of budgets, invoices, purchase orders, and other accounting-related documentation. Coordinate with trades and service providers to ensure timely completion of work. Maintain repair & maintenance schedules and ensure their adherence. Assist with collections and basic accounting reconciliations as needed. Participate in property inspections and help ensure compliance with company and regulatory standards. Provide exceptional customer service and maintain strong tenant relationships. Support special projects and other administrative tasks as assigned. Vendor contract Administration and document control. Qualifications: Valid driving license and reliable vehicle. Clear RCMP and credit check required. Valid passport for travel (when needed). Experience: 2-3 years of experience in a Property Administrator, Property Coordinator, or similar administrative role. Experience in commercial or industrial property management. Familiarity with lease documentation and basic accounting principles. Skills: Strong organizational and time management skills with keen attention to detail. Excellent communication and interpersonal skills – professional, proactive, and service-oriented. Confident making calls, coordinating vendors, and following up on tasks. Collaborative and eager to learn; comfortable supporting a busy, team-oriented environment. Base Salary: $55k – $65k per year Salary based on experience. Full benefits package included. Work Hours: 40 hours per week. Monday to Friday. Travel required – 10% (within AB and BC) Additional Notes: This opportunity does not include relocation. It will be the responsibility of the candidate should relocation be required.
