Calgary, Canada Waterfront Parkside Condominiums Full time

**Key Responsibilities**:
**Resident and Property Management Liaison**:

- Act as the onsite liaison between residents and the property management team.
- Provide daily concierge support from 9 AM to 12 PM, including package management, vehicle registration, and parkade patrols.

**Administration and Operations Management (12:30 PM - 5 PM)**:

- Oversee daily operations, including repairs, maintenance, and vendor management.
- Develop and prioritize daily task lists for the Condo Manager, cleaners, concierge, security, and building operator.
- Maintain detailed records of work orders and coordinate payment processing with Property management.
- Prepare and submit weekly reports to the Board of Directors (BOD).

**Staff and Vendor Supervision**:

- Manage workflows and monitor task completion for concierge, security, building operator, and other onsite vendors.
- Schedule and coordinate and oversee services such as cleaning, security, and landscaping, ensuring updates for the property manager.
- Collaborate with the BOD to hire and manage staff, including concierge, security, cleaners, and building operators.

**Planning and Process Improvement**:

- Plan for seasonal needs, including coordinating with landscaping vendors for summer and winter preparations.
- Provide process improvement recommendations and oversee their implementation.
- Coordinate and oversee site audits, including fob audits and security footage reviews.

**Communication and Documentation**:

- Develop and maintain schedules for vendors, keeping detailed records of work orders and progress.
- Archive and back up electronic files, documents, drawings, and communications.
- Create and update comprehensive training and orientation manuals for staff (concierge, maintenance, and onsite teams).
- Lead welcome and orientation sessions for new residents in collaboration with the BOD.

**Inventory and Reporting**:

- Manage inventory for office supplies, amenities, and cleaning materials.
- Deliver progress updates during monthly BOD meetings.
- The role will report to the Board of Directors of Waterfront Parkside Site 2

- **Process Improvement**: Ability to identify inefficiencies, recommend improvements, and oversee implementation.

**Technical Skills**:

- Proficiency in Microsoft Office Suite (Word, Excel) for documentation, reporting, and spreadsheet management.
- Familiarity with property management software (e.g., Condo Communities) is an asset.
- Expertise in task and schedule management tools (e.g., Outlook, Google Calendar).
- Skilled in creating and maintaining operational documentation, training manuals, and detailed records.
- Knowledge of inventory tracking systems for office supplies and materials.

**Qualifications**:

- Strong organizational, communication, and leadership skills.
- Experience managing teams and coordinating with vendors.
- Proficiency in maintaining records, preparing reports, and using digital tools for communication and documentation.
- Excellent verbal and written communication abilities.
- Experience in property management, administration, or a similar role is an asset.
- Ability to work independently while collaborating with various stakeholders.

Pay: $46,598.00-$53,000.00 per year
