Job Description

Kipling is currently looking for a Commercial Property Manager to oversee a portfolio located in Toronto.

This is an on-site, full-time and permanent position based out of Kipling’s Toronto head office.

Responsibilities

Building Operations

  1. Develop key relationships with client representatives and stakeholders and manage all communications;
  2. Maintain close working relationships with tenants and oversee resolution of any tenant issues;
  3. Perform regular inspections of the property to ensure that high standards of cleanliness, maintenance and security are maintained and initiate corrective actions as needed;
  4. Oversee rectification of day to day property management issues;
  5. Procure all third party agreements, observing budget restrictions and procurement guidelines, and tender/re-tender where and when required;
  6. Supervise building operations staff in the performance of their duties;
  7. Coordinate and develop operating manuals for the property – e.g. emergency preparedness;
  8. Attend regular meetings with clients, stakeholders and tenants;
  9. Manage/Oversee both capital and construction projects, both planned and unplanned, as approved by client in compliance with all governmental regulations;
  10. Manage all administration duties at the property including any administrative staff;
  11. Ensure compliance with any and all applicable government regulations;
  12. Develop risk management programming for the property;
  13. Manage and oversee emergency situations;
  14. All other duties as required.

Financial Duties: Reporting & Budgeting

  1. Coordinate and manage monthly/quarterly reporting and annual operating and capital budget process as per the client requirements;
  2. Coordinate preparation of capital plan (1-5 year and 10 year);
  3. Oversee accounting deliverables including processing of payables, invoicing, accounts receivable, utilities management, and all related reporting on a timely basis;
  4. Manage all aspects of budgetary expenditures during the year;
  5. Preparation of variance analysis on a monthly and ad hoc basis as required;
  6. Ensuring proper work order and invoice approval procedures are maintained;
  7. Review and approve purchase orders and invoices for work performed at the property;
  8. Review and monitor tenant invoices, accounts receivable and correspondence;
  9. Liaise with accounting team to ensure accuracy and timely delivery of all client reports.

Requirements

The ideal candidate for this position will have the following background:

  1. Minimum 5 years of direct property management experience;
  2. Strong written and verbal communication skills;
  3. Experience coordinating capital and construction projects;
  4. Post-secondary education and currently working on or completed RPA;
  5. Organized, with the ability to prioritize and work well under pressure;
  6. Strong team player able to work with many levels of staff and client stakeholders.
