How You Will Thrive

As the Executive Assistant, you will play an essential role in supporting the Leadership Team by managing schedules, coordinating meetings, and ensuring efficient day-to-day operations. You will be a key point of contact for internal and external stakeholders and will assist in the planning and execution of school events. Your organizational skills and attention to detail will ensure that the academic leadership team operates efficiently and effectively, while your ability to handle confidential information with discretion will be critical.

How You Will Succeed
  • Provide administrative support to the Head of School, Deputy Principal, and Academic School Leadership team, managing schedules, appointments, and calendar coordination.
  • Coordinate travel arrangements and assist with logistics for school events and activities.
  • Serve as the first point of contact for scheduling meetings and handling inquiries from parents, students, and staff.
  • Develop and maintain an efficient filing and record-keeping system, ensuring easy access to historical documents and meeting notes.
  • Assist with the planning and execution of school events, attending as needed during evenings and weekends.
  • Coordinate exam scheduling, attendance tracking, and room bookings for assessments.
  • Act as a backup for coordinating external occasional teachers' coverages.
  • Manage the process for closing day nominations, awards, and event rentals.
  • Collaborate with internal stakeholders to ensure the smooth execution of academic initiatives and events.
  • Support the planning and logistics of OSSLT testing and AP exams.
  • Oversee the faculty internal and external coverage system, ensuring all faculty absences are appropriately managed.
  • Manage student substance testing confidentially and oversee the consent and trip permission process.
  • Coordinate new faculty orientation, ensuring all logistics, resources, and presentations are organized effectively.
  • Track and support faculty development programs, including coordination of the annual development process and integration with the Perform system.
  • Liaise with RBC and scholarship recipients for Sir Edmund Walker scholarships and coordinate faculty recognition programs.
  • Complete and file AC's annual Notice of Intention to operate a Private School.
What You Bring
  • A post-secondary education in business administration or a related field.
  • Prior experience as an Executive Assistant or Senior Administrative Assistant, supporting executive-level roles in a fast-paced environment.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Ability to handle multiple projects and meet deadlines without compromising quality.
  • Expertise in Microsoft Outlook and Excel, with a high level of proficiency in using computer software programs.
  • A proven track record in maintaining confidentiality and managing sensitive information.
  • Excellent communication skills, both written and verbal, with a professional and approachable demeanor.
  • Problem-solving ability with a proactive and flexible approach to challenges.
