Job Description Job Description PROPERTY MANAGER - JOB DESCRIPTION (Revised 2025) POSITION TITLE : Property Manager, Maple Leaf Drive Seniors REPORTING TO : Board of Directors A. GENERAL DESCRIPTION : The Property Manager is responsible for supervising and carrying out the day-to-day operations of the Non-Profit Corporation, which focuses on subsidized housing for Seniors. The Property Manager reports to the Board of Directors on a regular basis. The Property Manager maintains the strictest confidentiality of practice. B. DUTIES & RESPONSIBILITIES : 1. Corporate Attend monthly Board meetings, prepare management reports to the Board, and advise the Board on all aspects of Maple Leaf Drive Seniors operation Prepare Board agendas with chairperson, ensure minutes are taken and distributed. Provide Board with copies of all necessary correspondence and reports Assist the Board in developing policies and procedures; administer those policies and procedures adopted by the Board Assist in the training and orientation of new Board members Liaise with the Municipality, and all other agencies related to the operation of Maple Leaf Drive Seniors. Oversee the assistant, who will liaise with the centralized coordinated access system (Toronto Social Housing Connections) with regards to prospective tenants and referrals. Maintain an effective process for attracting tenants for the market rent portion of Maple Leaf Drive Seniors. Submit required reports and forms to appropriate government agencies. 2. Administration Maintain corporate records and administer accurate record-keeping systems, for all aspects of operation; continue to evaluate on an on-going basis Maintain organized filing system Organize and co-ordinate office routines, schedules and functions Receive and approve room rental requests and fees and maintain schedules and records and advise Office Assistant re. Follow up to invoice and collect Maintain inventory of office materials and supplies; approve ordering of major expense items Respond to phone calls and correspondence, as needed Prepare letters and notices to tenants, as needed Oversee the administration and implementation of the Provincial rent‑geared‑to‑income program including annual income verification, calculation of rent‑geared‑to‑income, and notices of rent increase. 3. Financial Prepare annual budget and monitor expenditures within approved budget, and prepare monthly budget variance reports Prepare monthly financial reports for Board perusal Act as purchasing agent for Maple Leaf Drive Seniors. in accordance with spending policies, negotiate and monitor all contracts including construction, maintenance, renovation, service and employment Ensure the timely payment of all invoices and accounts and preparation of cheques for signature Ensure all financial records are maintained and reviewed by the Board Treasurer and President monthly. Liaise with auditor with regards to managerial aspects in preparation of annual audit Liaise with the Housing Administrator as needed Oversee the collection and receipt of all money’s payable by the tenants Ensure deposits of rent and other income to corporate bank account are made Maintain approved petty cash expenditure system with supporting records Arrange and monitor investments of accumulated operating surplus and reserve funds in accordance with Board Policies and recommendations and legislative requirements 4. Building Management Supervise Maintenance workers In conjunction with Maintenance workers,supervise routine and emergency maintenance of building and property Administer parking policy Oversee annual unit inspections with the assistance of New Views, move‑in / move‑out inspections and follow‑up Update life cycle costing projections as needed In conjunction with maintenance and admin staff, implement Board Policies for the general security of building and safety of its residents. 5. Tenant Relations Oversee Admin staff in the management of a ll tenant relations Receive and respond to rental inquiries Maintain “market rent” waiting list according to approved targeting plan, as appropriate Maintain internal waiting lists for apartment transfers Oversee processing of applications for market rent units Oversee the Housing Administrator through the rental process. Receive and follow‑up tenant complaints and requests Administer evictions as required. 6. Staff Management In conjunction with the Board, seek out, interview and hire new employees Provide employee training Supervise employee performance and report to Board on staffing matters Conduct annual employee reviews and report to the Board in accordance with Board Policies Review staff positions at least once annually, including job descriptions and salary rates; report to Board on annual staff reviews Coordinate staff holidays and sick leave in accordance with Board Policies Organize staff team meetings as required JOB SPECIFICATIONS : Good managerial, administrative, financial, and communication skills (both written and oral) combined with experience in non‑profit housing. Certificate, Diploma or degree in property management, business administration or related field Minimum 3 yeas of Proven experience in Property Management, nonprofit affordable housing or supportive housing. Ability to work well with people, specifically seniors; leadership and organizational skills. Proficient in Word, Excel, New Views and Voyageur (Yardi), computer programs.
