Workplace Operations Specialist – Cover Genius Cover Genius is a Series E insurtech that protects the global customers of the world’s largest digital companies. About the Role As a Workplace Operations Specialist on our Workplace Operations Team, you will oversee all daily office operations, manage facilities, coordinate workplace services, and ensure a seamless and welcoming employee experience. You will collaborate with cross‑functional teams to optimize processes, maintain a safe work environment, and actively support company culture. Key Responsibilities Build and maintain positive relationships with internal and external stakeholders, including vendors and building management. Oversee and manage the workplace’s day‑to‑day operations and service offerings. Manage the workplace operational budget for your location, ensuring cost‑effective solutions. Monitor and manage the office operational budget for supplies and other office needs. Manage the supply of office and kitchen essentials, including asset inventory. Serve as the main point of contact for all workplace‑related issues and address employee concerns promptly. Organize lunches, catering, and internal workplace events. Facilitate office tours and orientations and coordinate the issuance and collection of employee equipment and access for onboarding and off‑boarding. Maintain workplace organization and layout. Provide general administrative functions, including management and recording of incoming and outgoing mail. Manage and maintain security and access control systems. Ensure compliance with all safety standards and promote wellness initiatives. Manage meeting‑room bookings and support. Assist in security and sustainability initiatives (e.g., collection of recyclable materials). Assist in securing event venues, catering, decorations, and booking team‑bonding activities. Support CG Gives charitable initiatives and execute related events. Perform other relevant duties, such as identifying process improvements. What You Will Bring Proven experience in office management, facilities management, or related workplace operations roles for at least 3–4 years. Bachelor’s degree in a relevant field. Ability to manage multiple priorities and deliver work quickly and to a high standard. Excellent verbal and written communication skills, with experience working with people from different cultures. Knowledge of health, safety, and security protocols within the workplace. Capability to negotiate with vendors, manage budgets, and possess basic knowledge of operating AV systems and applications. Proficiencies and Attributes Proactiveness – anticipating potential disruptions and implementing preventive measures. Problem‑solving and adaptability – resolving issues promptly and adapting to changing needs. Stakeholder management – liaising between employees, leadership, and vendors. Customer‑service orientation – enhancing the workplace to provide a good employee experience. Analytical thinking – assessing complex situations, optimizing processes, and engaging in cost control.
