Medical Secretary - Cardiology NHS Ayrshire & Arran The post holder will provide a comprehensive secretarial and administrative service to Consultants and their teams in Cardiology. This role acts as a focal point for staff, patients and professionals, helping with service enquiries, coordinating patient pathways and delivering high quality, efficient, patient‑centred care. Shift pattern: Monday - Friday Core Responsibilities Manage Consultants’ diaries to ensure effective time management. Sort, distribute and prioritise incoming mail; determine which documents go to Consultants and which others need action. Handle telephone and face‑to‑face enquiries from staff, patients, relatives and carers, providing information and directing queries appropriately. Arrange referrals to appropriate clinics and investigative departments or organise admissions to facilitate the patient journey, taking into account urgency and wait times. Maintain the waiting list to meet hospital waiting‑time targets, liaising with departments to keep patient records accurate. Plan clinic and on‑call rotas with the Consultants’ team and communicate these to department staff. Record and prepare draft minutes of meetings for review and approval. Produce discharge summaries and clinic letters, and update TCI lists through TrakCare as required. Develop office and secretarial practices to improve service delivery. Provide cross‑cover and, when necessary, work across sites. Communicate with Consultants to provide written information required for external agencies. Support health and safety within the office area. Mentor administrative staff and promote NHS Scotland core values of care, compassion, dignity, respect, openness, honesty, responsibility and teamwork. Ensure compliance with GDPR, the Access to Health Records Act and other confidentiality legislation.
