Your Mission:

As an Executive Coordinator at Hydrostor, you will hold a crucial role in providing comprehensive support to a group of executives. Reporting directly to various executives, you will serve as the primary point of contact, facilitating smooth communication and coordination both internally and externally. This role is instrumental in ensuring the efficiency and effectiveness of executive operations, contributing directly to the company's goals and objectives.


Your Day-to-Day Adventures

  • Coordination: Manage executive calendars efficiently, scheduling meetings, appointments, and travel arrangements while prioritizing conflicting demands.
  • Management: Act as the primary liaison between executives and internal/external stakeholders, handling phone calls, emails, and other correspondence with professionalism and discretion.
  • Preparation: Prepare and edit documents, reports, and presentations for executive meetings and presentations, ensuring accuracy and clarity.
  • Arrangements: Arrange complex domestic and international travel itineraries, including flight reservations, accommodations, and transportation, ensuring seamless logistics.
  • Support: Assist in preparing meeting agendas, materials, and minutes, attending and taking notes during executive meetings when required.
  • Tracking: Track and reconcile executive expenses, maintaining accurate records and adherence to company policies.
  • Maintenance: Maintain strict confidentiality of sensitive information and executive discussions, always ensuring discretion.
  • Projects: Undertake special projects and research assignments as directed by executives, demonstrating adaptability and initiative.
  • Collaboration: Collaborate with other executive coordinators and administrative staff to ensure cohesive office operations and support.


Who You Are:

The successful Executive Coordinator should embody a proactive and highly organized approach to their work, consistently anticipating and addressing the needs of executives. Exceptional attention to detail and the ability to thrive in a fast-paced environment are essential. Strong interpersonal and communication skills and the capacity to maintain professionalism and confidentiality are paramount. The ability to work independently and collaboratively within a team dynamic is crucial for success in this role.


What You Bring

  • Secondary education in business administration, office management, or related field.
  • Proven experience as an Office Administrator, Executive Coordinator, Executive Assistant or in a similar role.
  • Experience working with boards, including compiling board packages, managing board communications, and coordinating board meetings.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Exceptional organizational and time-management skills.
  • Strong interpersonal and communication abilities.
  • Discretion and the ability to handle sensitive information with confidentiality.
  • Ability to work independently and collaboratively as part of a team.
  • Flexibility to work outside of regular business hours when necessary.
  • Interest in the renewable energy sector and start-up environment would be considered an asset.
