Executive Personal Assistant -Bilingual (Eng/Fr)

The EPA is dedicated to the executive office, primarily the Chairman's affairs, while offering additional support across all departments as needed.


The EPA is a highly organized and efficientbilingual assistant, who can multitask with efficiency and confidentiality. The EPA is responsible forthe organization, processing and follow through of all the executive's activities.


In addition to daily and weekly organizational tasks, the EPA deals with projects and issues as they arise, focusing energy and resources on those situations until resolved; identifies new opportunities and takes action; takes on new responsibilities when needed and pays great attention to detail and accuracy.


Responsibilities include, but are not limited to:

  1. Conducts all correspondence for executive.

  1. Receives incoming calls for executive and responds autonomously as needed.

  1. Manages full cycle of personal accounting of executive including; banking, statements, credit card, petty cash & medical insurance reimbursements.

  1. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

  1. Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

  1. Controls inbox, email and agenda of executive by planning and scheduling meetings, conferences, teleconferences, and travel.

  1. Prepares miscellaneous reports by collecting and analyzing information.

  1. Works closely with other departments on behalf of senior management to coordinate schedules, book meetings & ensure senior management calendars are scheduled efficiently.

  1. Contributes to the ongoing evolution of the role by offering suggestions for efficiencies and improvements.

Requirements:

  • Advanced computer skills: Microsoft Word, Excel, Outlook, and PowerPoint, spreadsheet preparation, Internet research, meeting organization and follow up.

  • Accounting experience

  • Project Management Skills

  • A minimum of 5 years of professional experience in an executive support or administrative assistant position.

  • Able to adapt to change, is open to new ideas, takes on new responsibilities, handles pressure, and adjusts plans to meet changing needs.

  • Can be counted on to meet or exceed goals; pushes self and others for results; is a conscientious worker who can be relied onto handle unforeseen obstacles.

  • Is direct and truthful; always adheres to appropriate core values; acts in line with those values.

  • Prepares reports by collecting and analyzing information.


    L'EPA est dédiée au bureau exécutif, principalement aux affaires du président, tout en offrant un soutien supplémentaire à tous les départements au besoin.

    L'EPA est un assistant bilingue hautement organisé et efficace, capable de gérer plusieurs tâches avec efficacité et confidentialité. L'EPA est responsable de l'organisation, du traitement et du suivi de toutes les activités du président.

    En plus des tâches organisationnelles quotidiennes et hebdomadaires, l'EPA traite les projets et les problèmes au fur et à mesure de leur survenue, en concentrant son énergie et ses ressources sur ces situations jusqu'à leur résolution. Il identifie de nouvelles opportunités et agit, assume de nouvelles responsabilités au besoin, et accorde une grande attention aux détails et à la précision.

    Les responsabilités comprennent, sans s'y limiter :

  • Gère toute la correspondance pour le président.
  • Réceptionne les appels entrants pour le président et répond de manière autonome au besoin.
  • Gère le cycle complet de la comptabilité personnelle du président, y compris la banque, les relevés, la carte de crédit, la caisse et les remboursements d'assurance médicale.
  • Produit des informations en transcrivant, formatant, saisissant, éditant, récupérant, copiant et transmettant du texte, des données et des graphiques.
  • Économise le temps du président en lisant, recherchant et acheminant la correspondance ; rédige des lettres et des documents ; collecte et analyse des informations ; initie des télécommunications.
  • Contrôle la boîte de réception, les e-mails et l'agenda du président en planifiant et en programmant des réunions, des conférences, des téléconférences et des déplacements.
  • Prépare des rapports divers en collectant et en analysant des informations.
  • Travaille en étroite collaboration avec d'autres départements au nom de la haute direction pour coordonner les horaires, organiser des réunions et s'assurer que les calendriers de la haute direction sont planifiés efficacement.
  • Contribue à l'évolution continue du rôle en proposant des suggestions d'efficacité et d'amélioration.

Exigences :

  • Compétences informatiques avancées : Microsoft Word, Excel, Outlook et PowerPoint, préparation de feuilles de calcul, recherche sur Internet, organisation et suivi des réunions.
  • Expérience en comptabilité.
  • Compétences en gestion de projet.
  • Un minimum de 5 ans d'expérience professionnelle dans un poste de soutien exécutif ou d'assistant administratif.
  • Capable de s'adapter au changement, ouvert aux nouvelles idées, assume de nouvelles responsabilités, gère la pression et ajuste les plans pour répondre aux besoins changeants.
  • Peut être compté sur pour atteindre ou dépasser les objectifs ; pousse soi-même et les autres à obtenir des résultats ; travailleur consciencieux sur lequel on peut compter pour surmonter des obstacles imprévus.
  • Est direct et véridique ; adhère toujours aux valeurs fondamentales appropriées ; agit conformément à ces valeurs.
  • Prépare des rapports en collectant et en analysant des informations.
