Job Description:

The Receptionist will play a crucial role in the long-term success of our visitor and employee experience by providing extraordinary office support at our Toronto field office. The right person should be upbeat and enthusiastic, with a dedication to work well with everybody. You are ready and willing to assist when needed. A self-starter with the ability to own a complicated task from start to finish. Individuals who are passionate about customer service and applying those skills to build a career in a fast-paced environment will thrive in this role.

What you will be doing:

  • Greet guests and visitors, acting as a "CEO" of first impressions for internal and external contacts.
  • Ensure guests are made comfortable and kept informed of the status of their visit.
  • Organize and coordinate conference room scheduling as needed.
  • Prioritize tasks with a sense of urgency when assisting with the day-to-day operations of the front desk and building needs.
  • Communication resource for visiting employees.
  • Act as a building concierge to all visitors, customers & employees.
  • Collaborate with cross-functional teams.
  • Assist employees and vendors with obtaining temporary badges.
  • Assist with New Hire orientation by providing the employee experience and coordinating onsite resources for virtual orientation.
  • Ensure that all daily reception tasks are completed.
  • Maintaining visitor kiosk and ordering supplies as needed.
  • Assist with coordinating events, projects and service requests as needed and understand facilities and security operational expectations to deliver the right content and services to employees and visitors.
  • Provide assistance to the RESS team: help requests, building walk-throughs, conference room resources, etc.
  • Maintain breakroom and office supplies. Assist in replenishing stock as depleted.

What we need to see:

  • Excellent verbal and written communications skills.
  • Ability to handle confidential matters with discretion.
  • 3+ years of experience.
  • Minimum of a high school diploma or equivalent experience.
  • Mature mind set focusing on being accountable, dependable, and culpable.
  • Able to work in a fast-paced environment.
  • Flexible with schedule changes, lunch changes, OT and work assignments.
  • Articulate, hard-working and quick on your feet with the ability to present information concisely.
  • Knows how to organize and prioritize work effortlessly with good time management.
  • Can thoughtfully work both collaboratively and independently with little supervision.
  • Critical thinker with excellent problem-solving skills.
  • Works well with a variety of people and partners with a positive customer service attitude.
