Our software engineering firm is growing - we're looking to round out the Engineering & Programmes teams with a new, motivated, dynamic Project Control Coordinator to support current and new projects, from our Head Office in Ottawa.

PMO

· Support the Project Managers (PMs), Technical Project Managers (TPMs) and project leads during the development of new projects to optimize gross margin and cash flow;

· Ensure compliance with budgets and other project requirements while maintaining performance baselines;

· Prepare financial forecasts (result and cash flow) and adherence to the project review process;

· Maintain business relationships with LCE stakeholders across project teams by liaising with Engineering Management, Project Managers, Team Leads incl. customers, partners, and vendors from kickoff through project phases, to close and reporting;

· Assist in establishing organizational policies and procedures to support project capture, execution, and close-out;

· Participate in outlining and defining project performance baselines and initiating projects, as well as supporting TPMs and PMs in preparing management plans, schedules, and staffing;

· Monitor expenditures in accordance with budget - project and program invoicing and financial updates and tracking, filing and document management;

· Reconcile and report on project finance and accounting.

· Bachelor’s degree or diploma, or equivalent experience;

· 2-5 years+ progressive experience in project support;

· Strong quantitative skills and advanced Excel skills with the ability to create and interpret statistical analysis;

· Experience with project accounting (EAC’s, % complete revenue etc.);

· Strong skills working in Microsoft Office (Word, Outlook, PowerPoint etc.);

· Experienced working in project planning tools such as Microsoft Project;

· Experience in project management & documentation tools (MS Project, Jira, Confluence, Tempo, and BigPicture);

· Outstanding leadership, organizational, analytical and time management skills.

Assets

· Completed education in accounting and/or experience with accounting processes in a related domain would be helpful;

· CAPM™, PMP™ or similar credential, and/or interest in obtaining the credential;

· Knowledge of project management theory and business analyst concepts and methodologies;

· Familiarity with agile and Waterfall project management methodologies.

Considerations for financial aspects of this role

· Annual budget prep/monthly forecasting with variance analysis - update and track Capital expenditure schedule;

· Review cash flow forecasting reports with Project Managers, President, and Head of Operations;

· Prepare monthly financial reports, provide analysis & comments;

· Track milestones and billing projections for input to Finance for cash flow reporting.

Considerations for the Operational and Administrative aspects of this role

· Management of contracts registry, project milestone invoicing & financial accounts / payments;

· Export permits, regulatory controls, related compliance and reporting;

· Experience with, or willingness to obtain, the necessary certifications to manage Export Permits and Canadian Controlled Goods Program process management and reporting;

· Approve export shipments and provide oversight to select service contracts;

· Manage programme office inventory, supplies, company and employee expenses;

· Support the business winning process, creating and owning the T3 documentation.

Security Clearance

Given the nature of our software development work, it is a condition of employment that the successful candidate receive the required security clearances. Successful candidates must be eligible for Controlled Goods Regulations Program (CGRP) government clearances and International Traffic in Arms Regulations (ITAR). In addition, candidates must be able to obtain a Canadian Industrial Security Clearance to NATO SECRET level.

In general, in order to obtain these clearances, you:

  • Must be either a Canadian citizen or permanent resident of Canada;
  • Must have lived in Canada continuously for the past 10 years;
  • Must not have a criminal record.
