About Invictus Games 2025:

The Invictus Games is a biennial international adaptive sporting competition for wounded, injured, and sick service personnel and veterans from around the world. Through the power of sport, the Games inspire recovery, support rehabilitation, and generate a wider understanding and respect for those who have served their country.

The Invictus Games Vancouver Whistler 2025 will take place from February 8 to 16, 2025 on the traditional territories of the Lil wat7 l (L l wat), x m k y m (Musqueam), S wx w 7mesh (Squamish), and s lilw ta (Tsleil-Waututh) Nations. Over 500 wounded, injured and sick service personnel and Veterans from more than 20 nations are set to compete in a wide range of adaptive sports, including adaptive winter sports for the first time in Invictus Games history.

The Vancouver Whistler Games Corporation (VWGC) is a Canadian non-profit organization established to organize and host the Invictus Games Vancouver Whistler 2025.

The Role:

The Workforce Coordinator will be responsible for all administrative elements relating to support of the Workforce team. Workforce at the Invictus Games Vancouver Whistler 2025 encompasses staff, volunteers, and contractors. This will include full accountability for management of invite lists, uniform requirements, stock lists, and training logs of 1600 volunteers. It will also entail use of the Games Management System (GMS) in relation to volunteer rostering, queries, and amendments. This position requires meticulous attention to detail, excellent organizational skills, and the ability to communicate effectively with diverse stakeholders.

Key Areas of Responsibility:
  1. Collaborate with Functional Area (FA) leads to understand volunteer staffing needs.
  2. Manage workforce planning data and change management process.
  3. Manage training session invites and RSVPs.
  4. Utilize Rosterfy scheduling software to create, update, and maintain the workforce schedule.
  5. Assist in management of volunteer roster information within Rosterfy.
  6. Facilitate the process for requesting and approving shift changes, time-off requests, and substitutions.
  7. Maintain clear communication channels to address scheduling conflicts and resolve staffing issues promptly.
  8. Communicate schedule updates to all relevant parties.
  9. Adhere to all relevant regulations, safety protocols, and organizational policies related to workforce.
  10. Other workforce duties as required.
Qualifications & Skills Competencies:
  1. 2 years proven experience in workforce scheduling, preferably in the major events or sports industry.
  2. Proficiency in scheduling software or tools (Rosterfy is an asset).
  3. Strong organizational skills with the ability to multitask and prioritize competing demands.
  4. Excellent communication and interpersonal skills with the ability to collaborate effectively with diverse teams.
  5. Attention to detail and accuracy in managing schedules and data.
  6. Flexibility to adapt to changing priorities and unforeseen circumstances during the event.
  7. Knowledge of labour laws, regulations, and best practices in workforce management.
  8. Commitment to diversity, equity, and inclusion in all aspects of event planning and execution.
