What You'll Be Doing

  • Manage procurement and expense processes for Finance, Legal and Enterprise Excellence (FLEX) and Human Resource departments including raising PO’s, handling invoices, payments and vendors, and assisting in the setup of new vendors
  • Support the department finance business partner in monthly and quarterly budget meetings/reviews
  • Assist the department finance business partner in the development and management of departmental cost centre budgets
  • Prepare and process expense reports for CFO and VP, Human Resources
  • Coordinating departmental meetings, agendas, minutes including the planning and coordination of any functional offsites
  • Setting up FLEX and HR Leadership and Team meetings and participate where required
  • Making travel arrangements for local and overseas trips and ensuring T&E policy compliance
  • Support with logistics related to onboarding of new staff and act as “neighbourhood champion” for FLEX and HR department office spaces, being main point of contact for any neighbourhood office space topics
  • Identify, develop, implement and support initiatives that streamline processes to improve efficiencies within the administrative team
  • Stay up-to-date on all procurement, and finance policies, procedures (best practices) and software required for budgeting, phasing and creating invoices, purchase orders and requisitions.
  • Support with special projects as required
  • Ensure compliance with AstraZeneca Code of Conduct and company policies and procedures relating to people, finance, technology, security, and SHE (Safety, Health and Environment)

Basic Qualifications

  • Minimum 5 years work experience administratively supporting an executive with several years of experience interacting with senior level personnel.
  • Strong team player with excellent collaboration skills and ability to work across multiple stakeholders
  • Demonstrated good judgment and professionalism to handle sensitive and confidential information on behalf of senior leaders
  • Knowledge of the finance and HR functions is an asset.
  • Experience working with purchasing and procurement systems such as Coupa or Ariba as well as ERP systems such as SAP
  • Experience with department budgets, financials and overall vendor management
  • Strong organizational and communication skills, both verbal and written.
  • Ability to drive projects through to completion while being diplomatic and maintaining good relationships.
  • Ability to work independently with minimum supervision and be confident self-starter.
  • Outstanding organizational and time management skills with the ability to manage multiple priorities.
  • Proficient on the MS Office suite with advanced skills in MS Word, Excel, PowerPoint, and Outlook etc
