Shuswap Hospice Society is a non-profit organization that provides compassionate grief and bereavement services and support to Shuswap residents, and the families, friends and caregivers of those experiencing life altering transitions. Shuswap Hospice Society relies on a dedicated team of volunteers to support operations, and a range of programs and services for the clients we serve.

We are currently building a small, core team of employees committed to our vision: To be a trusted partner in providing compassionate, supportive care for individuals, their loved ones, and caregivers experiencing life altering transitions.

While we do not provide clinical counseling services, we help people work through grief and loss by providing supportive programs and services.

About the Position

The Client Services Coordinator will be the first point of contact for those calling Shuswap Hospice Society. Reporting to the Executive Director, and in collaboration with the Volunteer Coordinator, this role is responsible for all bereavement intake inquiries and referrals, volunteer assignments, program registration and helping clients navigate their grief journey. The Client Services Coordinator will work in collaboration with the Volunteer Coordinator. Together they will be responsible for all tasks and responsibilities related to supporting clients and volunteers.

This position is responsible for:

  • Promoting the philosophy, values and vision of Shuswap Hospice Society
  • Working with, and communicating effectively with staff, volunteers, Board of Directors, community agencies, organizations, Interior Health teams and other professionals
  • Building strong relationships with members of the organization and within the community
  • Effectively navigating complex situations and conflict.
  • Modeling healthy boundaries ensuring exceptional client experiences within the Society’s scope of service.
  • Demonstrating a strong understanding of, and adherence to confidentiality procedures

Client Intake

  • Coordinates and triages grief, bereavement and caregiver referrals to Shuswap Hospice Society programs and services.
  • Processes referrals in person or by phone consultation and determines best suitability and assigns volunteers to clients/families according to guidelines.
  • Provides first level bereavement support to clients in alignment with Society policies and best practices.
  • Refers clients to bereavement programs, support groups, physical therapies and other Hospice programs as appropriate and available.

Administration

  • Updates the client database and initiates follow-up with clients by email or phone.
  • Gathers and maintains accurate statistics on all client activities and provides monthly client intake and program participation reports to the Executive Director.
  • Partners and consults with other agencies, i.e. care homes, Palliative Care team, to coordinate services and to identify need for service development.
  • Attends weekly virtual Palliative Rounds meetings.
  • Manages library of books and videos on end-of-life issues, bereavement and caregiving.

Program Planning, Coordination and Outreach

  • Assists the Volunteer Coordinator and Executive Director in the planning, organizing and delivery of Bereavement programs and events.
  • Coordinates support groups and engages volunteers as facilitators or co-facilitators in partnership with the Volunteer Coordinator.
  • Provides input, as requested for Shuswap Hospice annual planning and other organizational planning.
  • Networks with other societies providing similar client services.
  • Supports coordination of community outreach activities, fundraising, and volunteer events as required.
  • Provides input on the Society website and other social media/communication channels as needed.

Requirements

Education and Experience:

Bachelor’s Degree in Social Sciences, medical services, or related field is preferred with background in hospice/palliative care.

A minimum of three years related experience in client relations, client intake process, client assessments, and data collection/management in a health care setting.

An equivalent combination of relevant bereavement education, training and experience in a health care setting will be considered.

  • Comfort in an emotional and sensitive work environment and demonstrated understanding of cultural sensitivity and safety.
  • Strong understanding of, and commitment to privacy and confidentiality policies and procedures.
  • Proven ability to contribute to a collaborative and co-operative team.
  • Demonstrated ability to maintain appropriate boundaries and work within a defined scope of responsibility.
  • Strong administrative skills, including computer proficiency in Office 365, Word, Excel, Outlook, and PowerPoint, and social media.
  • Demonstrated organizational and time management skills.
  • Willingness to learn and develop knowledge of grief, bereavement and non-violent communication strategies.
  • A clear criminal record check.

This is a part-time, in-office position, Monday through Friday, 20 hours per week. Some evenings and weekends may be required. This is a developing role in a small office, and there is potential for hours to increase in the future, as the organization grows. There is some flexibility with hours for the right person with the right aptitude.
