Reporting to the Learning and Development Lead, the Learning and Development Administrator is responsible for aiding in the administration of all learning and development functions at Silvera for Seniors.

This is an office based position at our Administration office at 7015 Macleod Trail S.W.

Responsibilities
  • Maintains an annual master schedule of learning and development programs in accordance with Silvera's strategic imperatives and in conjunction with Human Resources annual workplan.
  • Assists the Learning and Development Lead in preparing, organizing, and coordinating regulatory, specialized, and technical training, including entering the facilitator rotation for new hire orientation (Welcome to Silvera).
  • Manages course logistics such as booking training space, ordering catering, venue setup and tear down, communicating training activities, photocopying handouts, compiling packages, creating attendance lists, entering grades, supporting facilitators on classroom management/AV equipment, and issuing certificates.
  • Oversees the Training inbox, answering routine questions about schedules, password resets and other training logistics.
  • Manages Learning Management Systems (LMS) - The Learning Centre (TLC) and YARDI Aspire.
  • Prepares monthly reporting from Learning Management Systems for Human Resources and Silvera Leadership. Provides reports upon request, including for the annual COR Audit.
  • Compiles online courses using Yardi University's course creation tools. Liaise with Subject Matter Experts (SMEs) to obtain content, slide decks, assessments, and supplemental learning materials to ensure courses are geared towards developing specific skill competences.
  • Partners with Community Leadership to review learning curriculum, update course materials and deliver program updates, where applicable.
  • Conducts post-course evaluations, then analyzes effectiveness of programs and courses. Communicates findings and recommendations to the Learning and Development Lead.
  • Sets up and securely stores training technology such as laptops, projectors, and screens, liaising and troubleshooting with IT when required. Tracks L&D equipment when loaning to other departments.
  • Tracks total training hours for quarterly and year-end metrics, as well as other monthly reporting.
  • Processes and documents approved professional development requests.
  • Manages the Summer Student program, tracking requests from departments and reporting on overall numbers, including managing the annual Canada Summer Jobs Grant application through the government portal.
  • Manages all Canada Alberta Job Grant applications.
  • Participates in and co-Chairs Silvera's annual Employee Conference Planning Committee.
  • Solicits quotes to ensure Silvera is using cost-effective training providers. Manages the external training vendors contact list and liaises with Finance to pay vendors, including preparing purchase orders and validating invoices.
  • Orders employee nametags, award plaques, and training supplies as needed.
  • Creates regular Learning and Development announcements to be shared on mySilvera.
  • Tracks and administers the Employee Shout-Out (Thank You Card incentive) program.
  • Maintains certification records within employee files as well as tracking in LMS.
  • Other duties as assigned to support in the administration of various Human Resource functions.
Qualifications
  • Minimum one (1) year of direct human resources or administration experience combined with completion of a post-secondary diploma in the discipline of Human Resources or Business Administration is preferred. Equivalent combination of education, experience and training may be considered.
  • Intermediate and/or Advanced computer proficiency especially working in MS Office (e.g. MS Word, Excel, PowerPoint, Outlook, Teams). Microsoft Certification preferred.
  • Experience in using design software (Canva, Adobe, etc.) is highly advantageous.
  • Experience with Human Resources Information Systems (HRIS) or Learning Management Systems (LMS) would be an asset, particularly WorkZoom, The Learning Centre, or Yardi Aspire.
  • Discretion, tact, and professionalism are required, with a very high degree of confidentiality.
  • Excellent customer service skills and able to deal comfortably with all levels of the organization.
  • Ability to work independently, handle multiple tasks and prioritize in a fast-paced, high volume work environment is essential.
  • Excellent organizational skills with analytical ability and attention to detail - output oriented and able to accomplish accurate results with firm timelines.
  • Excellent written communication skills and able to act as a professional human resource representative.
  • Desire to maintain continuous learning via external meetings, webinars, educational seminars, etc., to continuously develop human resources knowledge and experience.
