Salary Level: MPURPOSE:

The Constituency Support Specialist serves an important role in the organization’s ability to maintain, grow and serve the constituency base to meet the current and future needs of the organization. The primary purpose is to support constituency services operations and administration for the Constituency Relations (CORE) teams: Church and Community Engagement (50%); Donor Relations (20%); Marketing and Communications (20%); and Core General Administration.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

CORE Team General Administration (10%)

  1. Support the CORE Teams with data entry of constituent information in the Salesforce CRM system including merging contacts, deduplication of records, updating demographics, returned mail address updates, mail frequency and receipt preference updates, and other contact information changes. Provide regular reports on topics of inquiry from constituents and enter such information into the log.
  2. Provide back-up administration for World Renew Canada’s main phone line by providing support telephone coverage on days in which the primary Core Administration is unavailable. This may include but not limited to triaging requests, maintain, direct and update voicemail messages as appropriate.
  3. Provide administrative support for the CORE Team in the areas of scheduling meetings, calendar updates, agenda setting, report collecting, etc.
  4. Provide support and guidance to volunteers serving within the CORE Team.

Church and Community Engagement (50%)

Church and School Engagement

  1. Participate in developing objectives and plans for engaging World Renew’s current and potential church and school constituency, to increase their knowledge, involvement, prayer and financial support in its activities.
  2. Assist in developing and distributing resources to increase church, school, and community engagement.
  3. Provide necessary support to the CaCE team for events such as workshops, church administrator days, WR Ambassador events, which could include making logistical arrangements as requested.
    Organize display materials, including banners, for staff presentations and special events. Manage the WR displays and printed materials for events.
  4. Facilitate and manage logistics for church acknowledgments, team mailings, and meetings, as necessary.

Global Engagement Opportunities

  1. Support and collaborate towards the process related to global engagement trips for churches, schools, donors, and corporate group inquiries for global trips within the CORE team..
  2. Help with coordinating the process and response related to prospective trip participant inquiries.
  3. Assist with trip logistical arrangements, including but not limited to:
    • Background checks
  4. Code of conduct
  5. Consent letters/forms
  6. Other travel arrangements, as required
  7. Create and distribute trip participant packages for teams.
  8. Support the training and debriefing of trip participants before, during, and after trips.
  9. Maintain accurate database and files for trip participants.

Connection Tours

  1. Support CORE staff in the coordination and scheduling of field staff connection tours and manage related logistics such as preparing letters of invitation, obtaining visas, arranging for accommodation, organizing church and school visits, and other necessities during their stay.
  2. Organize connection tour resources for churches/events and display materials for field staff on connection tours.

Marketing and Communications (20%)

  1. Support the CORE team with inbound and outbound communications needs including, but not limited to: incoming email inquiries, social media messages, direct mail, new donor welcome communications, distribution of offers and proposals, etc.
  2. Provide administrative support for the inventory management, supply, demand, communications and distribution of SWAG product items.
  3. Support the development, distribution and reporting data, in collaboration with the Marcom team; flagship and recurring gift program/offers.
  4. Provide administrative support to the Marcom Team in the development, production and distribution of physical newsletters, new-donor welcome packages and quarterly impact stories.
  5. Assist with occasional desktop research for marketing purposes.

Donor Relations (20%)

  1. During the months of October through January, support Donor Relations and Gift Processing by entering single and recurring donations received via telephone; update recurring donation information as requested. Provide required information from entered donations to Database & Gift Processing team for posting and receipting.
  2. During the months of October through January, support and communicate with recurring donors regarding declined credit cards and soon-to-be expired credit cards; update credit card information in the Salesforce CRM as provided by the donor.
  3. Support the work and business processes related to Canadian donation receipts. Prepare and send communication in a timely manner.
  4. Support the administrative and business processes related to the Annual Gift Catalog program, primarily during the months of October through January each year.
  5. Maintains an active understanding of all current direct mail, email, and appeal campaigns to answer specific questions from donors and prospects via phone and email. (Base level of knowledge about ongoing in the spaces we serve)

Perform other administrative duties as assigned based on the workflow cycle throughout the calendar year.

EDUCATION AND / OR EXPERIENCE:

1. Bachelor’s degree is preferred
2. At least two-four years of work experience in a related area; volunteer management and/or project management is an asset
3. Experience working with different types of volunteers is advantageous

LANGUAGE SKILLS:

Excellent command of the English language both written and verbal is required
