  • Handle, screen and redirect incoming partners and/or client phone calls using a customer first approach;
  • Discuss Vyta service offering and packages to new and existing clients and partners;
  • Develop strong relationships with clients and partners of Vyta;
  • Assist with coordination and oversee service delivery with external and internal partners;
  • Maintain and update records of all scheduled partner and client services;
  • Follow up and confirm any required changes to partner service schedules in collaboration with Vyta Advisorteam;
  • Provide administrative support with onboarding Partners to the Vyta platform;
Contract Administration and Service Level Agreement Monitoring & Reporting
  • Act as Vyta point of contact for partners service delivery requests and service delivery issues;
  • Collect data from multiple sources from partners, associations and the industry of our partners;
  • Support with creating Service Level Agreements, documentation management and ensuring up to date records;
  • Report and track key performance indicators and report feedback to Director as necessary.
Business Development Administration
  • Support in business development outreach lead by the Business Development Manager;
  • Create partnership and business development reports to share insights with business leaders;
  • Create and manage database regarding outreach, events and activities;
  • Assist in the development of materials for presentations to current and potential partners;
  • Ordering and ensuring adequate Vyta supplies as needed;
  • Organize, attend stakeholder meetings including preparing and distribution of meeting minutes
Performance, Learning and Development
  • Other duties as required to support new business;
  • Participate in ongoing internal and/or external continuing education activities
  • Adhere to and compliant with Vyta Policies and Procedures;
  • Participate in quality activities and continuous improvement initiatives in keeping with the company's Quality Management System;
  • Participates in proactive Health & Safety activities while performing all duties. Is responsible to notify immediate Supervisor of any Health & Safety risks or concerns.
  • Maintains confidentiality of client and corporate information and discusses same only with appropriate Vyta personnel;
  • Follow Vyta's Standard Operating Procedures;
  • Complete other tasks as requested;

This position is a one (1) year contract with the possibility of extension or conversation to full-time permanent depending on business needs.

Job Qualification

Education Minimum - Secondary School Diploma; completion of administrative training program is preferred or equivalent level of education aligns with business requirements.

Experience A minimum of three years previous experience in the service industry with preference in senior population or related field. Extensive experience in customer service and client centered industry.

Other Skills and Abilities Exceptional customer relations and teamwork skills; proficiency in Windows applications, database management, e-mail and the internet; administrative or executive level writing skills; demonstrated ability to establish priorities, fluency in written and spoken English. Ability to work smart and continually increase efficiency. High level of detail orientation and strong desire to always execute top quality work on time. The ability to work in a team environment to identify and achieve team project goals and results, including the completion of assignments within established time frames. Adapt to new technologies, processes, or strategies as needed and able to handle change effectively.
