We are currently looking for a Bilingual Bid Manager to support our client, a leading and globally recognized software development firm. In this role you will work full-time hours on a 12 month assignment, working in support of their Montreal office.

The bid manager role is focused on delivering end-to-end services including strategy, expertise, partnering, and execution on customer bid pursuits. The bid manager is an individual who delivers project management/governance support for RFx documents. In addition, the bid manager has superior writing and editing abilities that result in the design and creation of proposal content, and leveraging existing resources and tools to execute with speed. The bid manager follows processes and executes enablement to optimize sales productivity. The bid manager has proven capability in delivering winning, multi-million dollar solution or complex services opportunities and provides valuable input into opportunity qualification, win strategies, and business discussions.

Responsibilities
  1. Initiates qualification for RFx documents to determine a go/no go pursuit decision and bid strategy; assist in the review of the solicitation (as appropriate).
  2. Creates document templates and establishes document SharePoint/MS Teams spaces for the purpose of collaboration on deal specific bids.
  3. Develops and manages the proposal response timeline/schedule from RFx release through submission that includes a list of VAT team roles and responsibilities using the RFP as a guideline.
  4. Sets up kick-off calls to include sales leads and VAT members, partners, solution experts, etc; facilitates the discussion with the VAT around RFx requirements, assignments, and timeline (internal and external due dates).
  5. Changes, tracks, and monitors deadlines and issues reminders to contributors helping to resolve constraints among VAT members.
  6. Manages VAT members through completion of their assigned activities and communicates resource constraints and complexities to the VAT to ensure deadlines are met and escalating issues to management as appropriate.
  7. Supports the development and effective rollout of process changes by executing defined processes and identifying areas for improvement.
  8. Updates workload tracking records/content repositories and uploads final responses to archives.
  9. Collaborates with the account team to understand the customer/prospect’s needs and how best to articulate SAP’s software and services offering.
  10. Facilitates the development of key messaging, win themes, differentiators and proof statements while shaping the alignment of the RFx with the value proposition, SAP differentiators and deal structure. Assists the sales lead with writing the Executive Summary.
  11. Manages and communicates a clear vision of the RFx objectives, and motivates VAT team to achieve them while ensuring VAT engagement to cover technical/functional content, risk analysis, contracts, revenue, recognition, approval, etc.
  12. Builds relationships and internal networks with teams and individuals to facilitate aligned support and serve as a representative of the bid management team.
  13. Applies suitable templates, messaging, and layouts that are compliant with RFx requirements for customer proposals, presentations, while creating standard and non-standard documentation, including enclosures, appendices, etc.
  14. Writes and edits high-value sections of proposals including corporate qualifications, company financials, corporate strategy, vision, and mission statements, management executive summary, and other non-technical sections as necessary utilizing SAP’s Content Archive Library.
  15. Searches and supports knowledge repositories through contributions, when necessary, aggregates and arranges content according to RFx mandates as well as ease of comprehension.
  16. Proofreads, edits, and ensures that final proposal content is consistent with SAP branding and One Voice.
  17. Harvests appropriate re-usable content for contribution to the content management database.
  18. Ensures compliance with policies, procedures, and obtains necessary bid approvals.
  19. Completes required documents (e.g., standardized forms, reps and certs, transmittal letters, authorized signatures, etc.)
  20. Manages and facilitates peer and business reviews including legal and risk reviews, ensuring bid processes are followed for approval and compliance to SAP policies and appropriate authorizations.
  21. Checks the quality of output by performing desktop publishing on submission content checking that required documents are completed and ready for production.
  22. Creates and organizes bid documents ensuring the final bid is presentable and compliant with customer delivery requirements.
  23. Ensures copying, binding, and packaging requirements are met (i.e., covers, tabs, spines, labels, binders, flash drives/CDs, envelopes, box labels) are completed and compliant.
  24. Facilitates the timely delivery and submission of bids and follow up with acknowledgement of receipt and tracking information.

Qualifications
EXPERIENCE AND LANGUAGE REQUIREMENTS
  1. Fluent in English and French (Level 3) and be able to fluently understand and communicate verbally and in writing.
  2. 3+ years of professional working experience (bid management, operations or role-related functions preferred, e.g., marketing, consulting, project management, etc.).
  3. Experience in sales-related processes is an advantage.

PROFESSIONAL TRAINING & CERTIFICATIONS
  1. University degree (Bachelors or Masters) or relevant tertiary certification is preferred.
  2. High proficiency with Microsoft Office Suite and SharePoint.
  3. Excellent organizational and management skills.
  4. Excellent writing and editing skills.
  5. Variation of bid management specific expertise on tools & technology.
  6. Project management certification as an advantage.
  7. APMP Foundation Level accreditation as an advantage.
