The Assistant Property Manager reports to the Senior Property Manager to provide reliable, timely, and efficient support for properties in the assigned portfolio, including interfacing with various external service providers and tenants as directed. Additionally, this role facilitates continuous improvement in office systems and procedures to ensure an efficient and productive operating environment.
Responsibilities Deliver Excellent Service to Tenants- Establish and maintain professional working relationships with tenants (private and public sector), participating in weekly and monthly meetings.
- Resolve tenant inquiries that are escalated from subordinates.
- Implement special activities and programs to add value to the tenant’s experiences at the property including ESG-themed programs such as sustainability, community, health & wellness, and charity initiatives.
- Establish and maintain relationships with hotel partner groups regarding delivery of contractual services such as utilities, security, cleaning, parking garage services and general building operations.
- Establish and maintain bilingual communications program for tenants/visitors of the building, including all building signage (print & digital), email and via building app.
- Administer building app adoption and integration program for tenant service requests (including integration with Federal government, building announcements and events, retail promotions, amenity integration, etc.).
- Organize tenant events such as tenant BBQs and negotiate contracts for these events.
- Independently respond to basic tenant inquiries and escalate complex queries to the appropriate person.
- Administer contracts (cleaning, security, snow removal, landscaping, etc.) as directed by Senior Property Manager and ensure excellence in service delivery.
- Assist with tenant onboarding lease administration; ensure that tenant information is complete and approved by CPMI before tenant begins construction of office space; ensure tenant approval of all work and arrange deposit from tenant and appropriate payment terms, with assistance from Accounting and Construction, if CPMI is doing the work and the work requested by the tenant exceeds the tenant allowance provided under the lease.
- Assist in tenant renewal and departure lease administration; coordinate renewal rental notices, coordinate tenant departure tasks such as collection of keys, access cards, cancellation of parking, return of space as per lease requirements, etc.
- Onboard and monitor “ConnectbyCrown” (tenant service request system) administration through administration and operations staff and completion of tenant work orders and preventative maintenance programs.
- Prepare communications to tenants as required.
- Administer property risk management platform compliance (Risk Wise) and assist in annual building EHS risk management audits (Risk Check).
- Assist in building fire emergency programming; coordinate fire warden training, fire drills, update onsite documents as per Ottawa Fire Department requirements.
- Assist in coordination of small tenant projects; coordinate eligible contractors, review/prepare quotes for tenant approval, coordinate work and ensure vendor compliance with building and tenant protocols, ensure accuracy in vendor payments and tenant chargebacks.
- Administer small base building operating projects (signage, painting, lighting, etc.).
- Administer Health and Safety committee processes and workplace H&S requirements.
- Assist in the management and recording of additional revenue streams, parking, storage, telecommunications, miscellaneous revenue, events, etc.
- Provide assistance to the Senior Property Manager or General Manager as requested.
- Support and/or direct Operations staff as requested by the Operations Manager.
- Assist with preparation of budgets and monthly and quarterly reports, as applicable to each property.
- Prepare monthly listings of accrued expenses and capital expenditures.
- Assist in the collection of tenant receivables, monitor tenant accounts in the Yardi tenant ledger and prepare reconciliations.
- Ensure that tenant charge back billings are prepared on a timely basis and forwarded to Accounting to enter into the Yardi tenant ledger.
- Seek opportunities to reduce energy consumption in the management office and at the portfolio level.
- Work with waste removal contractors to conduct annual waste audits in line with government policy and to maximize diversion from landfill (i.e., full roll out of organics program).
- Monitor and track utility accounts, record after hours consumption of utilities and review utility chargebacks to tenants.
- Assist with sustainability certification submissions (i.e., LEED, BOMA BEST, Fitwel, etc.) and green management practices ensuring alignment with strategic goals for the property and PSPC lease requirements.
- Manage ESG specific programs; oversee beehive contract including promotions and coordination of educational workshops for tenants, e-waste campaigns, electric vehicle charging stations, etc.
- Participate in ESG reporting (i.e., GRESB).
- Minimum high school diploma.
- Post-secondary education preferred.
- CPM or RPA designation preferred or working towards designation.
- Minimum 2+ years related property experience with commercial properties.
- Continuing involvement with professional organizations such as BOMA.
- French proficiency is an asset.
- Proficient in Microsoft Office.
- Possess strong written and verbal communication skills.
- Understand basic financial management; specifically procedures for expenses/revenues.
- Supports teamwork environment with positive and professional attitude.
- Open to learning, developing new skills/knowledge.
- Focuses on results: anticipates problems, identifies solutions, takes action.
