Job Summary 

Reporting to the General Manager/Chief Operating Officer, the Controller is a member of the Senior Management team and leads a hands-on small accounting team, responsible for all accounting functions, including journal entries, A/P, A/R, G/L maintenance, preparation of monthly & annual Financial Statements, payroll, group administration, management reporting, and government reporting. This role will also be responsible for annual budget preparation, year-end completion, and coordination of the audit for our notfor-profit organization, as well as other duties as required.

Duties and Responsibilities 
Accounting
• Process the month-end close, including reconciliations, journal entries, and accruals
• Oversee the processing of daily POS end-of-day updates/transactions
• Oversee the processing of all membership billings and accounts receivable adjustments
• Manage the collections process for overdue accounts
• Process all vendor invoices and payments
• Manage cash flow, bank reconciliations, and credit facilities
• Oversee the processing of the Club's payroll
• Process all accounting cost allocation entries
• Process all government remittances (GST, grant reporting, etc.)
• Liaise with the Club's ERP provider, Jonas Club Software, to ensure the best use of the Club systems
• Liaise with the Club's bank and creditors and manage the Club's treasury
• Review all event reconciliations and internal account entries
• Reconcile and submit monthly RSP remittances to provider


Reporting and Planning
• Preparation of monthly financial statements, board reports and annual financial statements
• Preparation of the Club’s annual budget
• Liaise with the Club's auditor for the annual audit and reporting in the Annual Report
• Report, analyze, and monitor department expenses to budget on a monthly basis
• Recommend cost controls and processes to ensure effective management of revenues and expenses
• Provide data analytic information (as required) to the Club’s management team and Board and provide guidance to the Recreation & Data Administrator when necessary.
• Maintain and update Capital Reserve study on an ongoing basis to ensure accurate capital reporting and planning


Membership Service
• Interact with members by email, in person, and by phone to discuss account updates, receive payments, communicate policy changes, etc.
• Oversee the membership database ensuring membership information is kept up to date (member aging for dues billings, etc)
• Responsible for the set up of all new member accounts, account terminations and changes
• Maintain share register and related records

Human Resources & Safety
• Oversee all Human Resource and Safety functions at the Club
• Provide support to the Club’s Human Resource & Safety Coordinator who directly reports to the Club’s Controller
• Ensure that the Club’s internal policies and procedures are update to date, accurate and enforced on an equitable basis
• Ensure the accurate submission or reporting and compliance with all Government Grants utilized by the Club


Other
• Attend monthly Board meetings and assist with presentation of financial reports as well as maintain the Club’s Board minutes
• Be an active member of the Finance Committee and responsible for presenting the annual operating and capital budget
• Assist with the preparation of the reporting package for the Annual General Meeting as well as ensure attendance at the meeting to assist where necessary
• Assist the General Manager/Chief Operating Officer with special projects and business cases
• Participate in the Club’s Technology Committee and provide recommendations for upgrades,
change management processes, etc.
• Implement reporting, controls, processes, treasury management, and compliance where necessary
• Assist with the annual reviews for the insurance and group benefits for the Club
• Retain a proactive relationship with the Club’s IT Support provider as the main contact

Qualifications 

• Formal accounting or business education, CPA is preferred
• A minimum of five years of experience in a senior accounting position including experience in office management, accounting (payroll, receivables, payables), IT and HR.

• Ability to develop effective working relations with management, employees, and members
