L'opportunité

Ce rôle doit être sur place 25 % du temps et plus en cas de besoin/demande

Vous êtes en charge de la gestion de l'approvisionnement et des vendeurs, du traitement des devis et des factures mensuelles dans le système SAP. 

Réconcilier les paiements avec les rapports financiers et résoudre les problèmes éventuels. 

Maintenir le suivi des dépenses de la marque et participer aux réunions financières mensuelles.

Gérer le processus MSA avec les fournisseurs, le service juridique et l'approvisionnement ; créer et suivre les contrats et les accords dans la base de données Companion.

Assurer le bon fonctionnement du bureau - acheter les fournitures de bureau, maintenir l'inventaire des équipements, gérer les dossiers des vacances, etc.

Coordonner avec le propriétaire les services de conciergerie, l'entretien et les réparations.

Diriger et respecter les exigences/procédures en matière de sécurité et former les employés.

Diriger la mise à jour annuelle et la formation du plan canadien de continuité des activités. 

Coordonner les déplacements du personnel pour les grandes conférences et coordonner d'autres réunions internes (activités internes ou externes), y compris les visites de collègues d'autres sites (réservations d'hôtel et transport). 

Aider lae Ccheffe des activités commerciales à organiser des réunions, à rédiger des ordres du jour et des procès-verbaux, à formater des documents et à effectuer des tâches de bureau générales.

Assister les gestionnaires dans l'intégration des nouveaux employés en ce qui concerne l'équipement informatique, les téléphones portables, la location de voitures et les cartes d’accès.

Coordonner les visites mensuelles du technicien informatique et s'assurer que tous les problèmes informatiques sont résolus - Maintenir l'intranet de CSL Seqirus, en effectuant les mises à jour rapidement.

Mettre en œuvre des campagnes de communication avec les employés.

Organiser des événements de Team Building et de bénévolat.

Le rôle

Travailler avec les fournisseurs, traiter les devis dans le système SAP et assurer le suivi des budgets promotionnels, des bons de commande et des paiements de factures.

Coordonner les événements et les déplacements. Il peut s'agir de réserver des chambres d'hôtel et des rafraîchissements, de coordonner les plans de voyage et de préparer les documents de réunion.

Superviser les fonctions de bureau quotidiennes et les opérations administratives, y compris les systèmes d'équipement de bureau, la gestion des installations, l'achat de fournitures de bureau, afin d'assurer une efficacité et une productivité maximales des opérations. 

Diriger les exigences en matière de sûreté et de sécurité, y compris la mise à jour des plans d'urgence, la formation des employés et la réponse à tout incident.

Accueillir les visiteurs et filtrer les appels, le courrier, les télécopies et les courriels, en fournissant les informations appropriées et en assurant le transfert.

Ccorrige et rédige la correspondance en anglais et en français.

Préparer et maintenir une liste de diffusion, préparer et envoyer des communications générales. 

En tant que membre du réseau des communications, il informe les membres du site de plusieurs activités et initiatives mondiales de Seqirus/CSL.

Soutenir le service à la clientèle, en particulier pendant la saison de livraison des vaccins contre la grippe.

Vos compétences et votre expérience:

Au minimum : Diplôme d'études collégiales de deux ans ou équivalent 3-4 ans d'expérience dans un poste similaire, idéalement dans l'industrie pharmaceutique

Maîtrise de Outlook, Microsoft Word, PowerPoint, Excel, SAP, Companion, Teams, OneNotes et des logiciels web.

Solides compétences en communication orale et écrite nécessaires pour mener à bien des projets interfonctionnels et interagir directement avec des clients internes et externes. 

Parfaitement bilingue en français et en anglais.

Capacité à préserver la confidentialité de documents sensibles

Solides compétences organisationnelles

Capacité à établir des priorités dans le travail et les tâches

Capacité à travailler de manière autonome

Capacité d'adaptation et flexibilité dans un environnement où les délais et le rythme de travail sont rapides.
