About the OpportunityOn behalf of our client, we are looking for an experienced Office Administrator to join an amazing team on a permanent full time basis. You’ll play a key role in supporting both field and office operations while contributing to a collaborative, high‑performing team culture.Job SummaryThe Office Administrator will oversee the daily administrative functions of a growing electrical company, serving as the central point of contact for clients, technicians, and suppliers. This role ensures smooth workflow and outstanding customer service through effective communication, schedule management, and organizational support.Success in this position requires strong multitasking abilities, proficiency with business software, and familiarity with the trades or construction industry. You will thrive in a hybrid work environment and embody our core values of collaboration, professionalism, and excellence.Key ResponsibilitiesCentral Communication & Customer ServiceServe as the main point of contact for calls, emails, and customer inquiries.Liaise professionally between clients, technicians, and suppliers.Manage post‑service follow‑ups, address concerns, and support online review management.Scheduling & OperationsMaintain and optimize the master schedule for electrical projects and service calls.Coordinate technician dispatch, permit tracking, and site inspections.Administrative SupportCoordinate with suppliers and vendors to order and track materials and equipment.Assist in developing and updating company policies and office procedures.Organize and maintain filing systems for project documents, client records, and financial reports.Financial AdministrationOversee basic bookkeeping, invoicing, accounts receivable/payable, and expense tracking.Prepare quotes and estimates based on information from the team.Collaborate with external accounting services for payroll, taxes, and financial reporting.Qualifications & SkillsProven experience in an office administrative role (trades, construction, or field service preferred).Excellent organizational and time‑management skills.Proficiency with business software (Microsoft Office, G‑Suite, and tools like Knowify, Payworks, Jobber, QuickBooks).Strong verbal and written communication skills.Proven experience in projects where abilities such as resourceful, proactiveness, and solutions‑oriented approach were mandatory to complete tasks successfully.Experience with billing, invoicing, and basic bookkeeping.Basic understanding of electrical trade terminology preferred. While this position is going to be set up in the remote setting. An access to a vehicle or reliable public transportation is preferred on the days when required to meet with the team.
