These structures are in use at over 900 locations serving the education, accommodation, telecommunication, quick service restaurant and oil & gas sectors. We are currently expanding into the Residential, Hotel and Agricultural Grow industries.

Role Description

Our team continues to grow. As a member of the Business Development team, the Proposal Coordinator will support the preconstruction phase of a project by preparing and coordinating proposals. The Proposal Coordinator reports to the VP Business Manager.

Location:

This role is office based at our 135,000 square feet manufacturing facility 20 minutes North of Calgary in Crossfield, Alberta, strategically located near a High Load Corridor which allows us to transport loads up to 9 meters high to many parts of Alberta, Saskatchewan, BC, and the United States. Our employees live in Calgary, Airdrie and surrounding communities.

Responsibilities

• Create/format proposal templates and presentations that align with corporate brand standards and business objectives.
• Oversee RFP process, receiving, tracking critical dates, ensuring RFP is executed and submitted within required timeframe and regularly updating clients and colleagues.
• Write, edit, and proofread technical and non-technical content to craft clear, impactful proposals that align with corporate brand standards and business objectives.
• Maintain and update the proposal database to ensure accurate project details are readily available for use in submissions, resumes, project profiles, presentations, and other marketing materials.
• Collaborating with internal stakeholders to ensure efficient development of proposal deliverables.
• Collaborate with and interview cross-functional teams to gather essential information and ensure all proposal inputs are comprehensive and cohesive.
• Lead and develop strategic responses for medium to large-scale proposals, ensuring all proposals adhere to compliance guidelines and client requirements.
• Contribute to proposal strategy development, collaborating with the team to determine winning approaches for key pursuits.
• Proactively write and lead key proposal sections, such as executive summaries, past performance narratives, management approaches, and tailored resumes/staffing sections for major pursuits.
• Facilitate and lead proposal review sessions with minimal supervision, ensuring high-quality outputs within set timelines.
• Participate in the preparation of presentation and interview materials for proposals.
• Maintain company databases to track proposals and other bid opportunities.
• Assist with marketing and communications activities, including content creation for internal and external audiences (newsletters, brochures), and event planning.
• Support manager, BD and sales team with marketing initiatives and account plans, as required; general admin tasks (attend / book meetings, order catering, formatting, etc.)
• Occasional attendance, setup and take down of corporate industry events / conferences, as needed

Qualifications & Experience

• 5+ years experience in a proposal coordinator role (or similar), within a the field of construction (General Contractor, Builder, Architectural/Engineering Consultant).
• Degree or diploma in publishing, marketing, communications, engineering, business, or a related field.
• Previous Modular Construction proposal role experience will be considered an asset.
• Exceptional writing, editing, and proofreading skills, with an emphasis on accuracy, quality, and messaging.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe Creative Suite (InDesign, Illustrator, Photoshop), with the ability to learn new software quickly.
• Experience in print design using Adobe InDesign is an asset.
• Strong professionalism and client-focused mindset, with the ability to adopt the client’s perspective and understand their needs.
• Ability to research and consolidate a wide range of technical and non-technical topics.
• Flexibility in managing multiple priorities simultaneously in a dynamic, fast-paced business environment.
• Excellent relationship-building skills, with the ability to collaborate across diverse teams and stakeholders.
