We are currently searching for a Executive Administrative assistant Office manager:


Complete tasks to ensure smooth day-to-day operations and contribute to an efficient and productive work environment.


- **Administrative Support:**

 - Answer and direct phone calls.

 - Manage and schedule appointments and meetings.

 - Handle correspondence (emails, letters, packages).


- **Office Operations:**

 - Oversee office supply inventory and order supplies.

 - Maintain office equipment and arrange for repairs.

 - Ensure office cleanliness and organization.


- **Staff Management:**

 - Assist in recruiting, onboarding, and training new employees.

 - Monitor staff performance and attendance.

 - Handle employee inquiries and resolve conflicts.


- **Financial Responsibilities:**

 - Manage office budget and expenses.

 - Process invoices, receipts, and reimbursements.

 - Prepare financial reports.


- **Communication:**

 - Facilitate internal communication among staff.

 - Organize company events and meetings.

 - Act as a point of contact for clients and visitors.


- **Compliance and Policies:**

 - Ensure office compliance with company policies and regulations.

 - Update and implement office policies and procedures.

 - Maintain confidential and sensitive information.


- **Project Management:**

 - Coordinate and oversee special projects.

 - Track project progress and report to management.

 - Ensure project deadlines are met.


- **Technology Management:**

 - Assist with IT issues and liaise with IT support.

 - Maintain office software and hardware inventory.

 - Implement new office technologies and systems.


QUALIFICATIONS:


· Proven experience as an office manager, administrative assistant, or executive assistant role.

· Bachelor's degree in Business administration, management or related field preferred

· experience in office management software (MS Office, Google workspace), Great knowledge of Excel, Word and Outlook, Microsoft 365

· Ability to establish priorities, multi-task efficiently and work with demanding deadlines

· Strong written and verbal communications skills in English and French compulsory

· Ability to work well with people from many different disciplines with varying degrees of technical experience

· Positive and proactive attitude

· Familiar with HR and payroll processes as well as accounting and budgeting technical skills

· Visual 2000 & NU ORDER an asset
