As a Proposal Specialist, you will play a crucial role in supporting our clients Business Development team by creating high-quality proposals, qualifications packages, presentations, and other marketing materials. Your responsibilities will include managing and coordinating the development of proposals, collaborating with technical staff, project managers, and senior leadership to produce competitive proposals that effectively showcase our clients expertise and help win new business.
This position offers an excellent opportunity for professional growth and development within the Business Development team. By contributing to key proposal initiatives, you will play a crucial role in securing new business opportunities and driving the success of our clients organization.
Key Responsibilities:
- Lead the preparation and submission of high-quality proposals, statements of qualifications (SOQs), and presentations in response to RFPs, RFQs, and other solicitations.
- Collaborate with the Business Development team and other stakeholders to understand client objectives for each proposal, researching, writing, and editing proposal content to ensure clarity, accuracy, and alignment with client needs.
- Develop proposal layouts and graphics to enhance visual appeal and professionalism.
- Identify trends, best practices, and areas for improvement in proposal development processes, making recommendations for enhancements and assisting in implementing changes as needed.
- Manage proposal timelines and deadlines effectively to ensure timely submission, prioritizing tasks based on importance and seeking guidance as needed.
- Facilitate proposal kick-off meetings and regular check-ins to ensure alignment and progress, and create presentations to support the pursuit team during the project interview process.
- Maintain and update project descriptions, corporate/department profiles, CVs, bios for technical staff, and photography database.
- Utilize CRM software to track proposal status, win/loss records, and other relevant metrics.
- Assist in the development of marketing collateral, including brochures, project sheets, and case studies.
- Participate in marketing and business development meetings to stay informed about upcoming opportunities and industry trends.
- Assist with various tasks and projects as assigned by supervisors or senior team members to support the overall success of the team and company objectives.
Requirements:
- Bachelor's degree in business, marketing, communications, or a related field.
- 2-4 years of experience in technical writing, proposals, or a business development role.
- Architecture and/or engineering proposal experience is an asset.
- Strong writing, editing, and proofreading skills.
- Analytical mindset with the ability to gather and interpret data.
- Demonstrated experience with layout design software.
- Proficiency in time management and prioritization.
- Excellent communication and collaboration skills.
- Eagerness to learn and develop in the field of proposal development.
