About the Role

We are seeking a highly skilled and compassionate Skin Clinic Administrator to join our team at HealthOne Medical & Wellness. As a key member of our operations team, you will play a vital role in ensuring the smooth day-to-day functioning of our Skin Clinic, providing exceptional patient care, and contributing to the overall success of our business.

Key Responsibilities
  • Patient Engagement: Develop and maintain strong relationships with patients, ensuring they feel welcome, accommodated, and receive a 5-star experience at all times.
  • Front Desk Operations: Efficiently handle all front desk tasks, including appointment scheduling, confirmations, billing, and payment, with a focus on precision and attention to detail.
  • Administrative Support: Provide reliable administrative support to the management team, adhering to policies and procedures, and contributing to goal achievement.
  • Continuous Improvement: Actively seek opportunities to enhance the patient experience, while assisting the management team to maximize clinic performance and growth.

Requirements
  • Guest Services Experience: Possess 1+ years of guest services experience, preferably in the cosmetic industry.
  • Professionalism: Demonstrate a high degree of professionalism, with impeccable communication and client-focused skills.
  • Organizational Skills: Exhibit excellent organizational skills, with a keen attention to detail and a reputation for being flexible and hard-working.
  • Technical Skills: Be tech-savvy and proficient with MS Office (Word, Excel, Outlook).
  • Availability: Ability to work weekends and evenings based on business needs.
Nice to Have
  • CRM/EMR Experience: Experience using a CRM/EMR, specifically Jane software.
  • Post-Secondary Education: Post-secondary education or a proven personal interest in Spa Management or a similar topic.
