About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our Hospice Palliative Care team at Langley Memorial Hospital. As a key member of our team, you will provide administrative support to our integrated Hospice Palliative Care team, ensuring the smooth operation of our services.

Key Responsibilities
  • Provide administrative support to the Hospice Palliative Care team, including typing, photocopying, and distributing documents, as well as performing data entry and producing computerized reports.
  • Obtain and verify information from clients, patients, and referral sources, and complete required standard forms and data entry in registration software.
  • Utilize desktop publishing and various software packages to maintain databases, create files, and perform spreadsheet calculations.
  • Provide reception services, including answering phones, taking messages, and distributing mail.
  • Ensure current client listings are up to date and distribute census lists to palliative care unit, HPC team, and other staff.
  • Arrange meetings, workshops, and educational events, and register patients, ensure room set-up, equipment, and refreshments as necessary.
  • Gather and compile information, such as client information and statistics, and perform general duties related to billing.
  • Place purchase orders, receive and deliver equipment and resource supplies, and check invoices for accuracy.
Requirements
  • Grade 12, plus Office Administration Certificate and one year of recent related experience, or an equivalent combination of education, training, and experience.
  • Ability to communicate effectively, both verbally and in writing, and to work independently and in cooperation with others.
  • Ability to operate related equipment, organize and prioritize tasks, and type 50 wpm.
  • Business writing skills, knowledge of general office procedures, and ability to establish and maintain rapport with clients.
